We are currently hiring for an open-minded, solution-driven and people-focused Branch Administrator to work out of Fort Saskatchewan, AB.
As a Branch Administrator, you will be tasked with ensuring the team at Sarens Canada is provided with exceptional administrative services. Specifically, you will be tasked with:
- Follows-up all input delivered by relevant stakeholders and takes the necessary actions.
- Preparing customer invoices and proforma invoices based on completed work orders, timesheets and supporting documentation
- Reviewing billing information to ensure rates, hours, equipment, personnel, travel and other applicable charges are captured correctly
- Ensuring all required backup documentation is included with customer invoices
- Submitting invoices through customer portals or other required billing systems
- Coordinating with Operations and Sales to resolve invoicing issues and ensure timely billing
- Maintaining accurate invoicing records and assisting with month-end billing requirements
- Working within D365/AX and other company systems as required
- Following up on missing purchase orders, approvals and invoice discrepancies
- Supporting month-end invoice processing and accrual requirements
- Keeps the ERP data-base up-to-date.
- Collects, reads, shares, follows-up and files all relevant documents.
- Creates and follows up a weekly and/or monthly planning.
- Prepares invoices and PO’s as per company procedures.
- Has regular contact (by mail, phone,…) with all relevant internal and external stakeholders.
- Create reports based on ERP data or other data regularly or upon request by the manager or supervisor.
- Being a positive team member and an ambassador of Sarens towards all stakeholders.
- Carries out any other prevalent activities which can be reasonably demanded and/or which are necessary for the company and/or department.

The ideal candidate will have the following technical capabilities:
- Between 4-5 years of experience in an administrative role;
- Familiarity with excel and payroll software would be an asset;
- Familiarity with Microsoft D365 considered an asset;
- Experience with accounts payable would also be an asset;
- Highly organized; and
- Comfortable interacting with people.

Pay: $60,000.00-$70,000.00 per year
