Position Overview

We are seeking a dedicated, professional, and detail-oriented Legal Administrative & Immigration Intake Associate to join our firm. This critical, multifaceted role combines front-office reception, client administration, and substantive immigration file preparation under the direct supervision of a licensed practitioner.

Candidates must possess a minimum of one year of demonstrated professional experience in Canadian immigration file preparation and a minimum of post-secondary education. Exceptional interpersonal and communication skills are required, as this individual will serve as the primary point of contact for clients. Furthermore, while core legal responsibilities remain strictly under the purview of the licensee, demonstrated capability in client acquisition, inquiry conversion, or sales will be considered a distinct advantage.

Key Responsibilities

Immigration File Preparation: Assist in the preparation, compilation, and assembly of various Canadian immigration applications (including permanent residence, temporary resident visas, work permits, and study permits) under the direct supervision of the licensee.

Client Intake & Liaison: Conduct initial client intake interviews, gather required documentation, and maintain professional correspondence with clients throughout their application lifecycle,



ensuring high standards of empathy and discretion.

Reception & Administrative Operations: Manage front-desk operations, including greeting visitors, administering telephone communications, managing the firm's calendar, and facilitating day-to-day office organization.

Business Development Support (Asset): Handle prospective client inquiries with professionalism, effectively communicating firm services to convert prospective leads into scheduled consultations (prior sales or business development experience is an asset).

Compliance & Confidentiality: Strictly uphold client confidentiality, privacy protocols, and professional privilege in absolute compliance with LSO rules of qualified conduct.

Record Management: Maintain accurate physical and digital filing systems, tracking crucial deadlines and correspondence securely.

Qualifications & Professional Requirements:

Education: Minimum of post-secondary education (diploma or degree in legal studies, administration, immigration consulting, or a related field).

Experience: A minimum of 1 year of hands-on experience as an immigration case worker, legal assistant, or paralegal focusing on Canadian immigration (IRCC) filings.

Sales & Conversion Proficiency (Asset): Proven background in client conversion, sales, or customer service environments.

Legal Knowledge: Sound understanding of Canadian immigration procedures, documentation standards, and portal navigation.

Communication: Superior verbal and written communication skills characterized by professional decorum and tact.

Organizational Acumen: Exceptional ability to manage multiple priorities, balance administrative reception duties, and execute meticulous file preparation in a fast-paced skilled environment.

Professional Conduct: Personal integrity, discretion, and a thorough understanding of the ethical boundaries governing support staff under an LSO licensee.

Pay: $20.00-$23.00 per hour

Expected hours: 37.5 per week
