The Opportunity
As a Dental Administrator, you will play an significant role in creating a positive experience for our patients while supporting the efficient day-to-day operations of our practice.
We are looking for someone who is professional, organized, dependable, self-motivated, and comfortable working in a busy dental environment. The ideal candidate enjoys connecting with patients, works well as part of a team, and can confidently manage multiple administrative responsibilities and priorities throughout the day.

Key Responsibilities:
- Greet and assist patients while providing friendly, professional customer service.
- Schedule and coordinate patient appointments to support productive and efficient daily schedules.
- Book hygiene appointments and actively work to maintain full and productive hygiene schedules.
- Manage patient recalls, confirmations, cancellations, missed appointments, follow-ups, and short-notice scheduling.
- Utilize RecallMax to support patient recall, reactivation, and scheduling.
- Maintain accurate patient personal, medical, insurance, and account information within the practice management software.
- Complete insurance breakdowns and verify patient dental benefits and coverage.
- Submit and follow up on dental insurance claims and predeterminations as required.
- Assist patients in understanding treatment estimates, insurance coverage, benefit limitations, and anticipated patient portions.
- Respond to patient inquiries by phone, email, and in person in a professional and timely manner.
- Collect, process, and accurately record patient payments.
- Work closely with dentists, hygienists, assistants, and fellow administrators to support smooth daily operations and an excellent patient experience.
- Maintain patient confidentiality and follow established clinic policies and procedures.
- Assist with additional administrative and operational responsibilities as required.
Position Schedule: This is a full-time position with a schedule that may vary based on the operational needs of the clinic.
Candidates must be available to work one evening per week and approximately 2–3 Saturdays per month. Our clinic is always closed on long weekends.

Experience & Qualifications:
Previous dental administration experience is preferred. Experience with Tracker and RecallMax is considered an asset but is not required, as training will be provided.
