The successful candidate will manage all key aspects of FIC's product launch and renewal processes, including but not limited to the preparation of offering and amendment documents, board materials, material contract amendments, being the key point of contact between FIC Legal and internal business units and external providers, and ensuring that deadlines are met.The Prospectus Operations Manager will support a team of lawyers, law clerks and legal translators, and will act as the primary liaison between FIC Legal and FIC Retail and Institutional Product and other key internal personnel for new and existing product offering related matters.Key AccountabilitiesManage Mutual Fund, ETF and Institutional Product Offering Document ProcessesDraft offering documents for private and public investment funds and accounts under the supervision of a lawyerCreate filing timetables and work-back schedules, including making sure that business unit inputs to offering documents are received on timeReview and validate product brief informationManage FIC Legal's process to initiate and make changes to fund facts documents using an automated systemLiaise with lawyers, the broader FIC business prospectus review team, board operations manager, board of directors, and internal and external translators as it relates to product offering related mattersOversee and manage the ETF listing application process, including ticker reservations and ongoing maintenance of ticker expiry datesOversee and manage the CUSIP processOversee external tax and auditor review process - i.E., engage providers in reviews, build relationships, help to resolve issues, and collect tax and auditor materialsManage comment letter process - set up templates,



coordinate/gather/input responses from relevant stakeholdersPrepare and/or assist with creating board materials for filings, updating material and non-material contracts, and creating or updating designated broker and dealer agreementsKeep offering document materials up to date - e.G., in between renewal filings carry forward any amendments and other matters for FIC Legal considerationRun FIC Legal's weekly filing update meetings - i.E., keep up to date with status of all offering document work, take minutes, resolve action items and oversee the MS Teams micrositeProvide Legal Support For Other Miscellaneous WorkSupport FIC Legal's review of marketing materials - i.E., assist with prioritization of reviews, ensure that FIC Legal's comments are accurately reflected in revised drafts and that marketing materials posted for approval are the same as what was approved by emailManage FIC Legal's MRFP review process - liaise with internal individuals in Canada and abroad to obtain MRFP lists, calculate and assign MRFPs for review, and manage the document upload processManage FIC Legal's corporate actions rota and assist as the primary liaison between the corporate actions team and FIC LegalArrange for the execution of fund investment documents through our Fund Treasury teamManage FIC Legal's Institutional compliance certificate review processAct as the primary liaison between FIC Legal and FIC business units for all material and non-material contract matters - e.G., fulfill requests for copies of various contracts and keep our retail and institutional product related contracts filing systems up to dateThe Expertise You BringYou have robust written, verbal and interpersonal communication skillsYou have a proven track record of strong collaboration and teamworkYou have excellent project management skillsYou have a commitment to drive quality and process improvementsYou are detail orientedYou are skilled in Microsoft Word and Workshare CompareExperienceWhat We Are Looking ForAt least 3 years of experience years of (i) working with offering document disclosure for retail/institutional funds and accounts; or (ii) project management experience and at least 3 years of legal experience gained at a large financial institution or law firmEducationUniversity degree or equivalent work experienceLicenses/Registrations/DesignationsNice to have Canadian Securities Law Course, IFIC Mutual Fund CourseSome of the ways we'll help you feel valued and supported as part of our teamFlexible working arrangements - 100% remote, hybrid, and in office optionsCompetitive total compensation, including company contributions to your group RRSP without a matching requirement from youComprehensive health benefits that start on your first day, with 100% employer-paid premiums,
