About BGC Cochrane & Area For over 35 years, BGC Cochrane & Area has supported children, youth, and families in Cochrane and the surrounding area through Out of School Care (K–6), Summer Camps, Youth Programs, Youth Outreach Services, the BGC Day Home Agency, and community partnerships.

Position Summary

Reporting to the HR & Office Manager, the Facilities & Operations Administrator is responsible for supporting the safe, efficient, and well-maintained operation of BGC Cochrane & Area's facilities, vehicles, and infrastructure across all sites.

This position serves as a key point of contact for facilities maintenance, building services, fleet administration, health and safety, compliance, space rentals, and general operational support. The Facilities Administrator works closely with staff, contractors, service providers, and leadership to ensure BGC facilities and resources are safe, functional, organized, and ready to support children, youth, families, and staff.

Key Responsibilities

Facilities & Site Administration

· Coordinate day-to-day facilities operations and maintenance across all BGC sites.

· Coordinate repairs, maintenance, cleaning, appliance servicing, recycling, waste management, and damage-related issues.

· Liaise with contractors, tradespeople, landlords, and service providers to coordinate facility-related work.

· Monitor maintenance needs and follow up to ensure issues are resolved in a timely manner.

· Maintain records related to building maintenance, inspections, repairs, warranties, and service agreements.

· Support the organization in maintaining clean, safe, welcoming, and functional spaces for children, youth, families, and staff.

· Coordinate office and facility supply orders and maintain appropriate inventory levels.

· Manage facility-related accounts and contracts, including renewals and service agreements.

· Coordinate and maintain the BGC space rental schedule and support rental administration.

Health, Safety & Compliance

· Lead organizational health and safety practices and ensure facilities meet applicable requirements.

· Lead the Joint Work Health & Safety Committee (JWHSC),



including co-chairing meetings, meeting coordination, documentation, follow-up, and compliance requirements.

· Maintain health and safety records, inspections, documentation, and follow-up actions.

· Assist with identifying facility and operational hazards and coordinating appropriate corrective action.

· Manage the administration of the AGLC account and related compliance requirements.

· Maintain accurate records and documentation required for organizational, regulatory, and operational compliance.

Fleet Administration

· Coordinate the administration of the BGC vehicle fleet and fuel cards.

· Maintain the fleet safety manual and ensure relevant procedures and documentation are current.

· Maintain vehicle maintenance schedules and coordinate servicing, repairs, inspections, and other required maintenance.

· Maintain accurate vehicle records, including maintenance, insurance, registrations, inspections, and incident documentation.

· Monitor fleet-related compliance and ensure vehicles are safe and operational.

· Liaise with staff and service providers regarding vehicle-related issues and requirements.

Access & Security Administration

· Maintain the BGC key registry and coordinate key distribution and returns.

· Manage facility access information, including alarm codes and related security records.

· Maintain organizational Outlook distribution lists, phone lists, and other operational information.

· Support appropriate access and security procedures across BGC locations.

Administrative & Organizational Support

· Provide general administrative and operational support to the HR & Office Manager and ED.

· Assist with organization-wide events, fundraising initiatives, and special projects.

· Maintain organized electronic and physical records related to facilities, compliance, contracts, and general operations.

· Complete all other duties assigned at the discretion of management.

Qualifications & Skills





· 2–3 years of experience in facilities administration, office administration, property management, operations, or a related field.

· Exceptional organizational and time-management skills, with the ability to manage multiple priorities and sites, whilst maintaining high accuracy and professionalism.

· Excellent written and oral communication and interpersonal skills; targeted and objective focussed, with a strong emphasis on customer service.

· Strong attention to detail and ability to maintain accurate records.

· Experience coordinating contractors, service providers, repairs, or maintenance is an asset.

· Knowledge of workplace health and safety requirements is an asset.

· Experience with fleet or vehicle administration is an asset.

· Strong computer skills, including Microsoft Office/Outlook.

· Ability to work independently while also collaborating effectively with staff across the organization.

· Strong problem-solving skills and a practical and logical solutions-focused approach.

· Ability to handle confidential and sensitive information appropriately.

· Current standard First Aid & CPR certification is required, with WHMIS and relevant OHS an asset.

· Clean Criminal Record Check with Vulnerable Sector and Alberta Child Intervention Record Check.

· Valid driver's license and access to reliable transportation is required.

Pay: $18.00-$20.00 per hour

Expected hours: 8.0 – 20.0 per week
