We help people with developmental disabilities live meaningful, independent lives while being part of a supportive team that values compassion, inclusion, growth, and community.What will you do?Under the direction of the Human Resources Manager, this position will be responsible for daily and weekly scheduling responsibilities, which include, posting and filling of shifts, handling sick calls, processing time off requests as approved by all Managers and ensuring that all shifts have complete or adequate coverage.Schedule DevelopmentPrepare and publish employee schedulesBuild schedules according to collective agreement requirementsMaintain appropriate staffing levelsEnsure coverage across programs and locationsShift Coverage ManagementIdentify open shifts; coordinate replacement staffing and fill vacant shiftsManage call-ins and last-minute staffing adjustmentsAvailability ManagementProcess employee availability forms and maintain availability recordsApply availability accurately when schedulingTime-Off AdministrationProcess vacation, floater and leave requestsScheduling System Administration (UKG)Ensure schedule accuracy in the systemCommunication & CoordinationRespond to scheduling inquiriesCoordinate with managers regarding staffing needsEscalate staffing concerns when coverage risks existScheduling ComplianceEnsure schedules comply with:Collective agreement requirementsEmployment standardsInternal scheduling policiesStaffing ratio requirementTeam Function:Attend and participate in staff meetingsAlways conduct themselves in a positive and professional mannerMaintain confidentiality between programsAlways communicate positively regarding staff and those we supportRespect for the confidentiality of co-workers,



agency and those we supportWork within agency policy to resolve issues and concerns within the department to reach a constructive and positive outcomeProvide support as required to the broader HR teamQualification Requirements:Diploma or equivalent work experience in Human Resources, Business Administration, Office Administration or a related field.Minimum of 2 years of experience in workforce scheduling, staff coordination, or a related administrative role.Experience in a unionized setting is strongly preferred.Demonstrated knowledge of collective agreements, seniority rules, scheduling practices and the Ontario Employment Standards Act.Experience using workforce scheduling or HRIS software (UKG preferred).Strong proficiency in Microsoft Office.Experience handling confidential employee information with discretion and professionalism.Preferred Skills:Strong attention to detail.Extremely organized and able to prioritize competing demands while maintaining accuracy.Able to proactively evaluate staffing risks and use sound judgement and problem-solving skills to address scheduling needs.Communicates schedule changes clearly and promptly.Strong collaboration skills, working closely with managers to understand scheduling needs and nuances.Able to build strong, positive relationships with all staff members and managers.Renumeration:Rate of pay: $26.86 - $28.32 per hour in accordance with our Collective Agreement.Additional RequirementsEmployment may be conditional upon successfully completing a Vulnerable Sector Police Check and meeting any other position-specific requirements.
