Position Overview
Wheelking Transhaul Inc. is seeking a highly organized and proactive Maintenance & Service Coordinator to oversee the service, maintenance, and repair activities of our truck and trailer fleet. The ideal candidate will have strong experience in truck and trailer maintenance, preventive maintenance planning, breakdown management, vendor coordination, and fleet compliance.
Experience in dispatch operations within the transportation and logistics industry will be considered a significant asset, as this role requires close collaboration with dispatch, drivers, and operations teams to maximize fleet uptime and efficiency.
This position plays a critical role in ensuring our equipment remains safe, compliant, and operational while supporting overall transportation operations.
Key ResponsibilitiesFleet Maintenance & Service Coordination
- Coordinate all preventive maintenance (PM) schedules for trucks, trailers, and fleet equipment.
- Monitor maintenance intervals and ensure timely servicing to minimize downtime.
- Manage repairs, inspections, diagnostics, and maintenance activities with internal technicians and external vendors.
- Schedule and coordinate annual inspections, safety certifications, emissions testing, and regulatory maintenance requirements.
- Track vehicle performance and recurring maintenance issues and recommend corrective actions.
- Ensure compliance with company maintenance standards and transportation regulations.
- Coordinate roadside assistance and breakdown support for drivers.
- Monitor maintenance costs and work towards reducing repair expenses through effective planning.
Vendor & Parts Management
- Develop and maintain strong relationships with service providers, dealerships, and parts suppliers.
- Obtain repair quotations and negotiate competitive pricing with vendors.
- Coordinate ordering and inventory management of parts and maintenance supplies.
- Verify vendor invoices and maintenance documentation for accuracy.
- Maintain service records, warranties, and maintenance history of fleet assets.
Dispatch & Operations Support
- Work closely with dispatch and operations teams to schedule equipment availability.
- Coordinate maintenance activities without impacting customer service commitments.
- Support dispatchers in managing fleet availability and equipment allocation.
- Assist in handling driver concerns related to vehicle conditions and mechanical issues.
- Provide updates regarding repair status, estimated completion times, and equipment readiness.
- Utilize dispatch and fleet management systems to support daily operational requirements.
Compliance & Safety
- Maintain accurate maintenance records in accordance with provincial and federal transportation regulations.
- Ensure fleet compliance with CVOR, MTO, DOT, and company safety requirements.
- Assist with audit preparation and maintenance documentation reviews.
- Monitor defect reports submitted by drivers and ensure corrective actions are completed promptly.
- Promote a strong culture of safety throughout fleet operations.
Administrative Duties
- Prepare maintenance reports and equipment performance summaries.
- Monitor maintenance budgets and cost-control initiatives.
- Generate service schedules, maintenance forecasts, and uptime reports.
- Maintain electronic and physical maintenance records.
- Support management with fleet-related projects and process improvements.
QualificationsRequired
- Minimum 2-3 years of experience in truck and trailer maintenance coordination, fleet maintenance, service administration, or a related role.
- Robust understanding of heavy-duty truck and trailer systems, repairs, preventive maintenance, and regulatory inspections.
- Knowledge of transportation industry maintenance standards and safety regulations.
- Experience coordinating with technicians, service vendors, and parts suppliers.
- Excellent organizational, multitasking, and problem-solving abilities.
- Strong communication and customer service skills.
- Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word.
Preferred
- Previous experience in transportation dispatch, fleet operations, or logistics coordination.
- Experience using fleet management, maintenance, and dispatch software.
- Understanding of CVOR, MTO, DOT, and transportation compliance requirements.
- Knowledge of truck and trailer parts, inventory control, and warranty management.
- Post-secondary education in Transportation, Logistics, Fleet Management, Automotive Service, or a related field.
