Shuswap Food Action Society is a registered Charity working to build community around local food. Through our meals programs, we work with schools, farmers and community partners to provide nourishing food and strengthen the local food system.

We are seeking an organized, relationship-focused Meals Program Manager to lead the administrative and business side of our meals programs. You will manage the systems that support meal delivery, serve as a key partner contact, and help the programs grow sustainably.

The Meals Program Manager works alongside the Kitchen Manager, who leads day-to-day kitchen operations and supervises kitchen staff. Together, you will coordinate staffing, purchasing and program changes so that commitments to schools and other partners can be delivered.

What You’ll Do

Program Administration and Finances

- Prepare and track invoices, follow up on outstanding payments, and maintain accurate records for bookkeeping and financial reporting.
- Develop and monitor program budgets, track food and labour costs, and prepare financial and impact reports for the Executive Director, funders and partners.
- Coordinate food orders and purchasing with the Kitchen Manager, within approved budgets and SFAS purchasing procedures.
- Maintain program records, agreements and procedures, including information needed for school district invoicing and reporting.
- Track permits, approvals, business licence renewals and other administrative requirements. Coordinate documentation and inspection follow-up with Interior Health and the Executive Director, while working with the Kitchen Manager on operational food safety matters.

Staffing and Service Coordination

- Prepare and maintain staff schedules in consultation with the Kitchen Manager, accounting for program needs, approved leave, and kitchen coverage.
- Maintain scheduling records and communicate schedules and changes to staff.



Work with the Kitchen Manager to identify coverage needs and resolve scheduling conflicts.
- Share relevant feedback from schools and program partners with the Kitchen Manager, and work together to address service concerns.
- Serve as a primary administrative contact for schools and other meals program partners. Coordinate service arrangements, changes in meal numbers and partner inquiries with the Kitchen Manager.
- Maintain accurate meal count and dietary information records, and communicate relevant changes promptly to the Kitchen Manager.

Relationships and Program Development

- Build and maintain relationships with local farmers and producers, schools, school districts and community partners.
- Research opportunities to increase SFAS’s impact, reach more people, and generate sustainable revenue. Prepare proposals that outline expected costs, staffing, and operational implications for the Executive Director’s review.
- Occasionally attend community events or meetings and speak about SFAS’s Meals Programs.

What You Bring

- Experience coordinating programs, operations or administration, ideally in food service, schools, nonprofits or a related setting.
- Strong skills in budgeting, invoicing, recordkeeping and working with spreadsheets or financial software.
- Ability to coordinate schedules, manage competing deadlines, and follow details through to completion.
- Confidence building working relationships with staff, suppliers, schools and community partners.
- Clear written communication and comfort presenting information to small groups.
- Sound judgment,



discretion with confidential information and a commitment to accessible, respectful service.

Experience with local food purchasing, food premises requirements, QuickBooks Online, Google Workspace and Microsoft Excel is an asset. We welcome applicants whose relevant skills come from other settings.

Work Arrangements

This is an ongoing part time position with approximately 20 hours per week during the school year. This position follows the school-year cycle, with approximately 20 hours per week during the school year. Summer hours are generally reduced, and there may be several weeks with little or no scheduled work. Hours may increase if SFAS expands its community meals programs. We will discuss the anticipated summer schedule with applicants during the hiring process.

The role includes work in Salmon Arm, meetings with partners and occasional evening or weekend events. Hours worked, including approved event time, will be paid in accordance with BC employment standards.

Employees receive vacation, statutory holiday and paid sick leave entitlements in accordance with applicable BC employment standards and SFAS policies.
