Job Overview

Breakwater Pediatrics is a collaborative group of consultant pediatricians and allied health professionals seeking to support the health and development of children and adolescents in our community. The new Medical Office Assistant (MOA) will provide administrative support to a group of general pediatricians and nurse practitioners. The MOA will be an important team member delivering family-centered, holistic care to children and adolescents in our community.

Responsibilities

- Coordinate patient care for the clinic
- Schedule and confirm appointments (in person and virtual)
- Help patients and their families with virtual appointment set-up and trouble-shooting
- Communication
- Greet in person patients and confirm primary care provider, pharmacy, and contact info
- Answer enquiries by phone and in person in a helpful, respectful and efficient manner
- Receiving and communicating messages on EMR
- Avoiding given medical advice other than recommending calling 811/911 going to hospital when appropriate
- Ensure patient confidentiality
- Monitor and respond to clinic email as needed
- Review and distribute mail regularly
- Maintain electronic medical record, including patient charts, templates, documents
- Respond to tasks in timely manner
- Produce tasks after first problem solving where possible
- Inputting labs and documents
- Billing (training can be provided): office and hospital billing submission and follow up of refused submissions, locum remittance calculation, applies and collects non-insured fees where applicable
- Contribute and assist to oversee general function and operation of clinic




- Operate and trouble-shoot office equipment including: phone system, computers, printers and scanners.
- Orders and receives kitchen, office and medical supplies
- General upkeep and sanitizing of common areas and exam rooms (though skilled cleaners are responsible for deeper cleaning).

Experience

- Previous experience working in a medical office environment is preferred, new graduates from MOA programs encouraged to apply.
- Proficiency with electronic health record (EHR) systems.
- Communicate effectively with healthcare professionals and patients.
- Demonstrated ability to operate multi-line phone systems confidently while maintaining respectful communication.
- Familiarity with computer software and general administrative procedures to support daily operations and efficient workflow.

Requirements

- Live in Greater Victoria
- Employment is contingent on having a clean Criminal Record Check with Vulnerable Sector Search
- Strong communication and conflict-resolution abilities
- Ability to work independently, problem solve, and take initiative in improving administrative processes
- Strong organizational and time management skills
- Ability to maintain accuracy while multitasking, and work under pressure
- Adherence to the importance of patient confidentiality
- On-going and updating training as required
- Available for 2 week training period in December 2026 (timing is flexible)

Pay: $22.00-$30.00 per hour Expected hours: 40.0 per week
