Most importantly, your work will contribute to meaningful outcomes that make a difference for Albertans and help shape the future of our province.Key responsibilities in the role of Visitor and Facilities Steward include:Greeting visitors and contacting the appropriate individual to escort them in our facilityHandling a multi-line switchboard, and maintaining front desk information binders and training materialsTaking and relaying messages, and assisting with conference room bookingsMonitoring visitor access on touchless electronic visitor sign in system and maintaining security awarenessEnsuring relevant screening questions and Confidentiality Agreement are monitored, and visitor badges are visibleReceiving couriers, recording arrivals of packages, and ensuring appropriate carriers are notified of pick-upsActing as the Area Warden and first point of contact of emergency calls and responseAttending monthly safety meetings, conducting site inspections quarterly, and conducting AED and First Aid kits monthlyReceiving and actioning requests regarding building issues requiring attention, such as signs, office moves, employee questions, parking issues, lighting, kitchens, bathrooms, basic janitorial concerns, snow removal, sanding, ice concerns, and keys for the officesManaging and signing out corporate vehicles to employees,
ensuring sign in is accurate and vehicles are properly equippedIssuing and keeping track of staff parking and monthly staff counts for bill-backs (external partners)Conducting records administration activities including the creation, maintenance, tracking, storage and closing of recordsPerforming general administrative tasks including managing correspondence, distributing mail, office supply inventory maintenance, reporting, and ordering business cardsWhat You Need to Thrive in This RoleCertificate or Diploma in administrationOne or more years of related experienceExcellent interpersonal and communication skillsProficiency with the Microsoft Office suite of productsEffective collaboration and communication skillsOrganization, planning, and prioritization skillsRemains composed and professional when managing difficult situations, complaints, or competing demands.Who We AreAlberta Innovates is the province's most comprehensive research and innovation agency.
