where applicableClient Record MaintenanceCreate and maintain accurate client records across all systemsMaintain and organize client documentation on shared drivesPerform ongoing account maintenance in all applicable systemsCash Management & PaymentsCoordinate client cash requests, including:Instructing, tracking, and entering daily one‐off and scheduled Electronic Funds Transfers (EFTs) across multiple custodiansInstructing, tracking, and entering wire transfersProcessing cheque deposits and withdrawalsTax & Regulatory DocumentationCoordinate W‐8, W‐9, CRS, NR and related tax forms with custodians, including:Daily updates to the Documents PortalTracking document expirationsPreparing forms for client execution and mailingTracking sent and received dates and following up as requiredUploading completed documentationClient ReportingAssist in the preparation and distribution of client reports, including:Monthly corporate and year‐end account reportsOne‐off statements or reports as requested by clients or internal stakeholdersRegistered Plan & Tax Reporting SupportAssist with annual registered plan tax reporting, including:RRSP contribution slipsRRSP, IPP, and RIF withdrawal slipsTFSA contribution and withdrawal reportingFilings with custodians and/or the CRAAsset Transfers & Account ClosuresSupport asset transfers in and out,
including:Preparation of transfer forms (standalone or as part of account opening packages)Initiating and tracking transfersRegular follow‐up with transfer counterpartiesMonitoring transfers at custodiansProviding regular updates to Wealth ConsultantsEntry of transfer details in OlympicSupport final account closing processesCoordinate other asset movements, including charitable donations in and outSpecial ProjectsAssist with special projects as assigned by the Manager, including but not limited to:Document mailingsDocument and directory maintenanceAccount and system maintenance initiativesRequirements and Key CompetenciesMinimum 1-3 years of experience as a Client Service Administrator, Operations Administrator, or similar role within the financial services industryExperience with regulatory documentation, tax reporting, wires, and/or back‐office custody operations preferredEnrollment in or completion of the Canadian Securities Course (CSC) or a similar program preferredStrong proficiency in Microsoft Office SuiteHigh attention to detail, robust organizational skills, and the ability to manage multiple priorities effectivelyDemonstrated ability to work collaboratively in a team‐based environment while delivering superior client servicePlease note that artificial intelligence (AI) tools may be used during the recruitment process to assist in screening, assessing, or selecting applicants.
