Your Role as a Property Maintenance Coordinator
You will liaise with and oversee trades (electricians, plumbers, appliance repair, HVAC, etc.) to carry out general repairs and maintenance at properties under our management located in Greater Vancouver. This role is focused on maintenance coordination, vendor management, and service request execution. It is well-suited for someone with prior industry experience looking for a adaptable, part-time role with autonomy.
Responsibilities include reviewing and executing property service requests, scheduling access with tenants to assess maintenance requirements, coordinating specialized tradespeople to resolve service requests, supporting the licensed property managers, and other day-to-day related responsibilities as required.
We are looking for someone who can make sound decisions – not just route service requests. Strong troubleshooting skills and practical knowledge are essential.
Responsibilities:
· Review service requests and accurately diagnose issues to determine the appropriate scope and response, which includes ensuring that the correct trade is engaged, minimizing delays, repeat visits, and cost overruns.
· Clearly define and communicate scope of work to contractors and vendors and coordinate repairs accordingly, including situations where work is completed without an initial site visit.
· Obtain, review, and compare quotes. Make recommendations on scope and pricing.
· Update and manage work orders in Buildium.
· Communicate with tenants and property managers regarding maintenance scheduling and completion.
· Monitor work orders and follow up to ensure timely resolution.
· Maintain accurate maintenance records and documentation.
· Schedule preventative maintenance.
· Provide support to the property management team as required.
· Communicatively clearly and professionally with tenants, vendors, and our internal team.
· Review and approve invoices to ensure work completed aligns with approved scope and pricing.
· Monitor vendor performance and flag recurring issues or inefficiencies.
· Identify patterns in maintenance requests and proactively suggest improvements.
Requirements and Qualifications:
· Valid BC driver’s license
· Proven experience in residential maintenance, facilities coordination, property management, or similar role
· Strong understanding of residential building systems (plumbing, electrical, HVAC, appliances)
· Experience working with trades or managing vendors is strongly preferred
· Ability to assess maintenance issues, determine appropriate scope, and identify suitable trades
· Ability to assess quotes and identify reasonable vs. excessive pricing
· Strong customer service mindset with professional communication skills
· Excellent written and verbal communication
· High attention to detail and strong organizational skills
· Strong time management and ability to prioritize multiple work orders
· Ability to work independently, triage issues, and make sound day-to-day decisions with minimal supervision
· Comfortable working in a flexible schedule, including occasional after-hours responsiveness when required
· Proficiency with Microsoft Office and general computer systems
· Experience with Buildium or other property management software is an asset.
Schedule:
· Fixed15 hours weekly, with flexibility in scheduling
· Rare but occasional urgent coordination may be required
· Hybrid work environment (combination of in-office, remote, and on-site visits as needed)
Incentives & Benefits:
· Hourly wage $27 to $32
