About the Role:
We are looking for a reliable and organized Administrative Assistant to join our Abbotsford office. This is a client-facing, team-support role that sits at the heart of our daily operations. The right candidate is a solid communicator, detail-oriented, and comfortable managing multiple priorities in a skilled environment. Training will be provided.
Key Responsibilities:
Client Support & Relationship Management
Greet and manage client interactions with professionalism (in-person, phone, and email)
Book and manage annual client follow-up appointments
Prepare and send thank-you notes and client appreciation touchpoints
Build client proposals and presentation packages for advisor meetings
Operations & Compliance
Assist with compliance paperwork and ensure documentation is completed accurately and on time
Maintain and update our manual CRM system with client records and activity logs
Oversee team licensing and contracting paperwork
Support advisors in completing client and application paperwork
Team & Sales Support
Work collaboratively with the team to ensure smooth daily operations
Contribute ideas to support business growth and improve client retention
Assist with additional tasks as requested by leadership
What We're Looking For:
Minimum 1 year of experience in a receptionist, client-handling, or administrative support role
Strong verbal and written communication skills
Highly organized with the ability to manage multiple tasks and deadlines
Comfortable working with manual systems and attention to detail in paperwork
Team player with a proactive attitude
Experience in financial services is an asset but not required
