Role OverviewThe OSP Administrator supports BPA's proposal development process end-to-end, from opportunity identification through proposal tracking, partner coordination, and documentation support. This role requires strong organizational skills and close collaboration with Technical Leads, Discipline Leads, and the Proposal Writer/Coordinator.Key ResponsibilitiesOpportunity Monitoring & TrackingMonitor RFP websites and procurement portals daily to identify new opportunitiesManage RFP subscriptions, notifications, and keyword alertsIdentify and circulate relevant opportunities, including SEEV summaries and plan takers listsFollow up with decision stakeholders to secure timely Go/No-Go decisionsMaintain and update the Toronto OSP proposal tracker,
including addenda updatesMaintain and update various OSP information systemsPartner & Architect CoordinationMaintain and amend the Architect contacts listInitiate and manage outreach when an chance requires partnering with an architect, working with internal stakeholders to identify the best-fit partner per opportunityCreate and maintain the Client/Architect Requirements sheet for each proposalProposal SupportAssist in preparing draft fee lettersSupport CV maintenance and updatesSupport project sheet updatesProvide general administrative coordination and documentation support throughout the proposal lifecycleTechnical Proficiency:Advanced knowledge of Microsoft OfficeSharePointAI usageAdobeProposal/document automation softwareSoft Skills:Exceptional attention to detailStrong time managementProofreading accuracyEffective cross-functional communicationAbility to work independentlyStrong organization skills
