Royal LePage Select Realty is looking for a friendly, organized, and detail-oriented Reception & Office Administrator to join our brokerage team.
This is a diverse administrative role that combines front-desk reception, office administration, agent support, listing coordination, document management, and scheduling. The successful candidate will be comfortable managing multiple priorities, working independently, communicating professionally, and learning a variety of computer systems and office processes.
About the Role
As the first point of contact for our brokerage, you will help keep the office running smoothly while providing day-to-day support to our REALTORS® and management team.
The position includes a variety of responsibilities, including:
Reception & Communication
- Answer and direct incoming telephone calls
- Monitor and respond to voicemail and general office communications
- Greet visitors and provide a welcoming, professional first point of contact
- Respond to agent requests and assist with day-to-day office needs
- Communicate with agents, clients, vendors, and other contacts professionally
Office Administration
- Maintain organized physical and digital filing systems
- Scan, print, process, and file documents
- Assist with closed file processing and digital record keeping
- Handle administrative documentation and deposit drop-offs
- Coordinate sign requests and related paperwork
- Assist with office security and agent access administration
- Maintain office schedules, contact information, and administrative resources
Real Estate & Listing Administration
- Assist with the preparation and processing of new listing files
- Prepare listing packages and required documentation
- Review documents for completeness, signatures, initials, and required information
- Assist with listing activation and validation
- Process listing amendments, price changes, status changes, and other updates
- Monitor listing expiry dates and follow up with agents as required
- Maintain accurate physical and digital listing records
- Work with real-estate systems including Matrix, Lone Wolf, and TransactionDesk
Agent Support
- Assist with onboarding and activating new agents
- Maintain agent contact information and profiles
- Assist with website and brokerage profile updates
- Help maintain the on-call agent schedule
- Communicate upcoming training opportunities and brokerage information
- Provide administrative support to agents as needed

- Able to maintain accurate records and catch small errors before they become larger problems
Skills & Experience Experience in one or more of the following areas would be considered an asset:
- Reception or front-desk administration
- Office administration
- Real estate administration
- Transaction or document coordination
- Customer service
- Property or real estate services
- Google Workspace / Microsoft Office
- Working with databases, CRM systems, or other specialized software
Real estate experience is an asset but is not required. Training will be provided on the brokerage's systems and procedures. The ability and willingness to learn is important. What Will Make You Successful in This Position
This role involves many moving parts. On any given day, you may be answering a phone call, processing a listing amendment, helping an agent, preparing documents, checking an upcoming open house, filing a closed transaction, updating a schedule, or preparing marketing material.
We are looking for someone who can stay organized, prioritize effectively, pay attention to detail, and keep things moving without losing track of the small details.
You don't need to know every system when you walk through the door—we can teach you our processes. What matters most is that you are organized, dependable, comfortable with technology, willing to learn, and able to work professionally with a team.
