Function: ETS Super-Department Resource Planning / Workforce ManagementLocation: Montreal (day 1 onboarding onsite/in-office presence required 3x/week)Years of experience: 5-7Notes:Team takes care of resource management for the ETS division.Responsible for helping teams to onboarding new resources.Responsible for opening and closing positions.Advising teams when needed.Supports clients in US and Canada.Works in EST timezone.Interview Process:1st round via Zoom – evaluation of previous background, communication skills, and their understanding of resource management2nd round onsite – face-to-face interview with senior stakeholderPosition SummaryWe are seeking a Resource Planner to support workforce planning, resource governance, and operational execution within departments part of a broader division. This is an individual contributor role focused on accurate execution, robust controls, and high-quality reporting, working closely with Business Management, HR, Finance, Recruiting, and Vendor Management.The ideal candidate brings strong attention to detail, comfort working with data and processes, and the ability to manage recurring workflows in a highly governed environment. This role is well suited for someone building depth in workforce management, resource planning, or business management within Technology.Key ResponsibilitiesResource Transactions & ExecutionExecute day-to-day workforce and resource management transactions, including hiring, internal moves, onboarding/offboarding, and vendor-related requestsSupport staffing plan updates and headcount tracking in line with approved budgets and plansCoordinate with managers and business partners to ensure requests are reviewed and approved in accordance with firm policiesData Integrity & GovernanceMaintain accuracy and consistency of workforce data across systems of recordIdentify, investigate, and resolve data discrepancies, exceptions,
and incomplete workflowsSupport governance processes by maintaining trackers, documentation, and audit-ready recordsReporting & AnalysisisProduce standard workforce reports and recurring analyses (e.G., headcount, hiring activity, vacancies)Support ad-hoc data requests with clear, well-structured outputEnsure reporting is timely, accurate, and presented in a consistent formatStakeholder SupportAct as a reliable point of contact for day-to-day workforce and resource planning questionsPartner closely with Divisional management to ensure accuracy of strategyCommunicate clearly and professionally with stakeholders across regions and seniority levelsProcess & Tool SupportFollow established processes and contribute ideas for improving efficiency and data qualitySupport adoption of centralized workforce reporting fostering standardized ways of workingEscalate issues appropriately when risks, delays, or data concerns are identifiedRequired Qualifications5-7 years of relevant experience in resource planning, workforce management, business management, operations, business analysis, project coordination, or procurementBachelor's degree (or equivalent experience) in Business, Finance, Technology, HR, or a related fieldIntermediate Proficiency in Excel and PowerPoint; comfort working with structureddataStrong written and verbal communication skills, with attention to clarity and accuracyStrong organizational skills and ability to manage multiple tasks with competing deadlinesSelf-starter mindset with attention to detail and follow-throughBasic understanding of headcount, staffing plans, or labor budgeting conceptsPreferred QualificationsExperience within financial services, technology, or another large, global organizationFamiliarity with workforce, HR, or vendor management systemsExperience working in a governed or compliance-driven operating environmentInterest in process improvement, automation, or reporting standardiz
