Qualifications
MINIMAL FORMAL EDUCATION REQUIRED:
- Undergraduate degree or diploma in Information Technology, Computer Science, Information Systems, Data Management, Software Development,or a related field.
EXPERIENCE:
- Several years of recent, directly related experience developing, maintaining, and supporting databases, business applications, or information systems.
- Experience designing and maintaining relational databases, including tables, queries, forms, reports, relationships, and business rules.
- Experience developing and maintaining Microsoft Access databases and related applications.
- Experience with web-based application development or Power Apps considered is required.
- Experience gathering business requirements and translating operational requirements into practical database or application solutions.
- Experience troubleshooting database, application, data quality, and user access issues.
- Experience developing reports and supporting data imports, exports, and integrations between systems.
- Experience creating and maintaining technical documentation, user procedures, and training materials.
- Experience providing technical support and training to users with varying levels of technical knowledge.
- Experience working independently on moderately complex technical projects and assignments.
- Experience with Microsoft Excel, SharePoint, and Microsoft 365 applications is considered an asset.
- Experience with Visual Basic for Applications (VBA), SQL, scripting, workflow automation, or similar development tools is considered an asset.
- Experience working with confidential, sensitive, research, educational, or health-related information is considered an asset.
- An acceptable equivalent combination of education and experience may be considered.

Key responsibilities
DATABASE, APPLICATION DEVELOPMENT & ADMINISTRATION:
- Designs, develops, implements, maintains, and enhances databases and related applications used by ORRLE and CLSP to support operational, administrative, scheduling, inventory, and reporting requirements.
- Designs and maintains Microsoft Access databases, including tables, queries, forms, reports, relationships, and business rules.
- Develops and maintains custom database applications and operational workflows to support unit requirements.
- Meets with unit managers, staff, and other stakeholders to identify requirements, understand existing processes, and translate business needs into database and application solutions.
- Develops and maintains systems supporting CLSP facility booking and scheduling, including mechanisms that allow users to view facility availability before submitting booking requests.
- Develops and maintains a Standardized Patient database and management system, including demographic information, participant traits, availability, scheduling information, and online sign-up requirements.
- Develops and maintains equipment and inventory tracking systems for CLSP, including equipment usage, location, condition, supply requirements, and related inventory information.
- Develops data collection and reporting processes that allow CLSP to monitor facility and equipment utilization, including frequency and duration of bookings, number and type of users, student participation, and equipment usage.
- Develops, maintains, and enhances ORRLE databases and related applications used to support operational and program workflows.
- Develops custom Microsoft Access applications to support program, project, and operational requirements.
- Streamlines data entry, reporting, and repetitive processes through macros, Visual Basic for Applications (VBA), queries, forms, and other appropriate automation methods.
- Supports data imports, exports, and integrations between Microsoft Access, Microsoft Excel, SharePoint, and other supported systems.
- Monitors database performance and maintains data accuracy, consistency, and integrity.
- Maintains appropriate database security, user permissions, access controls, and backup and recovery processes.
- Performs routine data audits and investigates data inconsistencies, errors, and missing information.
- Troubleshoots database and application issues, identifies the cause of problems, and implements appropriate corrective solutions.
- Maintains an advanced working knowledge of how and where data is stored, how it is entered, and how it is extracted from supported systems.
- Creates and maintains technical documentation describing database structures, applications, business rules, workflows, processes, and procedures.
- Reviews existing systems and processes and recommends improvements or enhancements where appropriate.
- Maintains and updates supported databases and applications as operational and business requirements change.
USER SUPPORT, TRAINING AND REPORTING:
- Provides database and application support to CLSP and ORRLE staff related to data entry, data quality, reporting, extraction, system access, and application functionality.
- Provides training and guidance to staff in the effective use of supported databases, applications, and related processes.
- Develops and maintains interactive Power BI reports to aid in data analysis
- Develops Power Automate workflows to streamline and automate business processes
- Develops and maintains user documentation, instructions, procedures, and training materials.
- Assists staff in correcting data and process issues and works with users to identify the cause of errors, missing information, or unexpected application behaviour.
- Troubleshoots database and user issues and provides technical support and training to end users.
- Develops reports, queries, extracts, and other information products required by CLSP and ORRLE for operational planning, monitoring, program administration, and decision-making.
- Works with staff to identify reporting requirements and translates those requirements into practical database and reporting solutions.
- Acts as a technical resource to CLSP and ORRLE staff using supported databases and applications.
- Identifies opportunities to simplify or improve existing data collection, reporting, scheduling, inventory, and administrative processes.
- Provides ongoing support following implementation of new databases, applications, workflows, and system enhancements.
OTHER DUTIES:
- Maintains current knowledge of database technologies, application development, data management, reporting, automation, and related technologies relevant to the position.
- Participates in meetings, projects, planning activities, and system initiatives related to the operational requirements of CLSP and ORRLE.
- Assists in evaluating future database, application, reporting, and technology requirements for the supported units.
- Works collaboratively with University technology resources and other technical staff when requirements extend beyond the scope of the position.
- May be required to perform related duties not exceeding skills and capabilities as required.
