The Shuswap Band is seeking a detail oriented and organized Accounts Receivable Clerk to join our Finance team. Reporting to the Finance Director, the Accounts Receivable Clerk is responsible for maintaining accurate financial records, processing accounts receivable transactions, supporting property taxation administration, and assisting with month-end and year-end financial activities. This role plays an key part in ensuring compliance with Shuswap Band Finance Policy and the Finance Administration Law (FAL).
Responsibilities
Accounts Receivable & Daily Financial Transactions
· Maintain customer records and account information within the accounting system.
· Generate customer invoices in Sage Intacct and submit them for approval.
· Record customer payments, deposits, and cheques accurately and promptly.
· Prepare monthly reconciliations of accounts receivable sub-ledgers.
· Monitor outstanding accounts receivable balances and follow up on overdue accounts.
· Maintain housing rental payment records and rental schedules.
· Prepare and deliver weekly bank deposits for Shuswap Band and Kinbasket Water & Sewer.
· Ensure financial records and supporting documentation are complete, accurate, and properly organized.
Property Tax Administration
· Maintain accurate and up-to-date taxpayer records in Smart Group Software (formerly TAS).
· Prepare and distribute annual property tax notices.
· Process property tax payments and issue receipts.
· Apply interest and penalties to overdue tax accounts in accordance with established policies.
· Complete tax searches and prepare related invoices as requested.
· Prepare reports on outstanding tax balances for management review.
Financial Reporting & Audit Support
· Assist with month-end and year-end accounting and financial reporting processes.
· Support annual audits by gathering documentation, locating records, and responding to auditor requests.
· Prepare financial information and variance analyses as required.
· Assist with internal reporting and other finance-related administrative functions.
Compliance & Confidentiality
· Maintain the confidentiality of financial, employee, and organizational information.
· Ensure compliance with applicable policies, procedures, legislation, and financial controls.
· Perform other related duties as assigned.
Qualifications
· Diploma in Business Administration with a focus on Accounting or a related field
· Minimum of two (2) years of recent finance or accounting administration experience in a professional office environment
· Strong understanding of bookkeeping principles and Generally Accepted Accounting Principles (GAAP)
· Experience maintaining accounts receivable, accounts payable, sub-ledgers, and general ledger records
· Proficiency in Microsoft Office, including Excel, Word, and Outlook
· Experience using accounting software, preferably Sage Intacct
· Basic knowledge of Indigenous Perspectives and Foundations
· Property taxation administration experience
· Experience working with Indigenous organizations
· Knowledge of First Nation programs and services
· Understanding of Secwépemc culture, traditions, and protocols, or a willingness to learn
