Inventory & Installation Assistant

As an exciting and fast-growing leader within the international corporate event and tradeshow exhibit industry, Pro-X Event is looking to expand our team with a highly organized, detail-oriented, and proactive Inventory & Installation Assistant.

The Operations & Installation Assistant provides administrative and operational support to the Operations and Installation teams, helping ensure the day-to-day details behind our projects are accurate, organized, and moving forward. This role works closely with internal teams to manage inventory and client assets, while also supporting installation and operations through administrative coordination, project support, and other day-to-day operational tasks.

This is an ideal opportunity for someone who enjoys organization, systems, problem-solving, and keeping track of lots of moving pieces. Success in this role requires strong attention to detail, follow-through, initiative, and the ability to quickly identify and escalate issues when something doesn't look right.

Location: Mississauga, Ontario (In-Office)

Starting Salary: $25.00 per hour

Responsibilities

- Manage daily EZ Inventory activities, including client portal requests, asset records, quantities, charge sheets, and client communication.
- Maintain accurate inventory, asset, and location information across internal company applications and systems.
- Track special orders and other operational requests to ensure information is accurate and deadlines are met.
- Coordinate and monitor shipments through FedEx, Purolator, DHL, and client-appointed carriers.
- Assist with installer scheduling through When I Work scheduling platform, including scheduling updates, travel letters, and expense reports.
- Ensure installation and dismantle reports are completed, reviewed, and followed up on until outstanding issues are resolved.
- Assist with speciality project requests, data entry, research, process improvement initiatives, and assigned vendor recruitment.
- Follow up with internal teams, installers, clients, vendors, and carriers to ensure outstanding items are completed.
- Provide daily and weekly updates on outstanding activities, project requests, and operational priorities.
- Identify and immediately escalate urgent issues, discrepancies, delays, or other concerns requiring attention.
- Maintain organized operational records, documentation, and digital files.

Qualifications





- 1+ years of experience in an administrative, operations, logistics, project support, or similar role.
- Exceptional organizational skills and attention to detail.
- Strong ability to manage multiple priorities, deadlines, and requests simultaneously.
- Strong written and verbal communication skills.
- Confident in communicating with internal teams, clients, vendors, carriers, and field staff.
- Strong follow-through and a proactive approach to resolving outstanding items.
- Comfortable working with spreadsheets, databases, inventory systems, and other technology.
- Proficiency in Microsoft Office and Google Workspace.
- Comfortable learning new software, systems, and processes.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
