Position Overview
We are seeking an articulate, detail-oriented, and high-energy Administrative Assistant to support our Calgary operations. In this role, you will be the backbone of our daily workflow—handling client/agent calls, managing file intake, verifying application data, and communicating status updates to brokers.
Comprehensive training on our proprietary mortgage software will be provided to ensure your long-term success.
Key Responsibilities
- File Preparation & Processing: Verify, compile, and input mortgage application data into processing systems. Review residential loan files to ensure information meets establishment standards (including borrower assets, liabilities, and employment history).
- Communication & Updates: Keep mortgage brokers updated on client application statuses in a timely manner.
- High-Volume Phone Management: Handle incoming/outgoing calls (30–40 calls per day) from agents and clients with exceptional phone etiquette.
- Meeting & Schedule Coordination: Schedule and confirm appointments with agents. Help host and coordinate client meetings and teleconferences (via Phone, Zoom, or in-person) to build complete mortgage applications.
- Administrative Support: Maintain strict confidentiality, manage records accurately, and perform other related administrative duties as assigned.
Required Qualifications
- Experience: Minimum 2 years of proven Administrative Assistant experience (Strict requirement—please do not apply if you do not meet this threshold).
- Call Volume Experience: Proven ability and willingness to handle high-volume calling (30–40 calls/day) with warmth, empathy, and professionalism.
- Typing Skills: Verified typing speed of 55+ WPM with high accuracy.
- Software Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Dropbox).
- Communication: Exceptional written and verbal English communication skills.
- Core Attributes: Strong organizational skills, keen attention to detail, proactive problem-solving skills, and the ability to multitask effectively under minimal supervision.
- Customer Service Orientation: A positive, integrity-driven "can-do" attitude with strong emotional intelligence when handling complex client situations.
Preferred Assets
- Prior experience in Mortgage File Building, real estate, or financial services administration.
