Position Summary

We are seeking an organized, dependable, and client focused bookkeeper to support the day-to day operations of our income tax and accounting firm. This position combines reception and exceptional customer service and building meaningful relationships, general office administration and bookkeeping in the focused area of HST and account reconciliations). Cross training will be provided as needed.

The ideal candidate has some previous in all or some areas of administrative, bookkeeping, accounting, is comfortable working with numbers and confidential financial information, and can manage multiple priorities in a professional office environment. General knowledge of Canadian financial system and economic system is an asset.

Experience with sage 50 is an asset. Enjoyment of problem solving and desire to learn and acquire knowledge is the right kind of fit for this office environment. Additional training courses and additional education are available to a successful candidate.

Key Responsibilities

Reception & Client Service

- Greet clients and provide friendly, professional service in person, by telephone, and by email.
- Answer incoming calls, take messages, respond or refer inquiries, and direct clients to the appropriate team member.
- Schedule and confirm client appointments.
- Receive tax documents and go through the client intake questions and prepare physical file.
- For bookkeeping, receive client statements or receipts, organize the documents for processing.
- Contact clients to request missing information or documentation for bookkeeping as directed.
- Maintain a professional, warm and welcoming office environment.

Tax Preparation & Administrative Support

- Assist with organizing and preparing personal income tax files.
- Prepare files for review by tax preparer and accountant after received from the client.





Bookkeeping & Accounting Support

- Primary bookkeeper to routinely complete bank reconciliations and HST calculations and remittances.
- Enter and categorize transactions from bank statements, credit card statements, receipts, invoices, and other records.
- Organize bookkeeping documentation and identify missing or unclear transactions for follow-up with supervisor and the client when appropriate.
- Prepare bookkeeping files and supporting documentation for review by the accountant.
- Perform other basic accounting support duties appropriate to the employee's experience and training.

General Office Administration

- Maintain organized electronic and paper client files.
- Scan, photocopy, print, file, and securely handle confidential documents.
- Prepare correspondence, forms, spreadsheets, and other office documents.
- Assist with document pick up from client’s businesses (If needed)
- Support accountant and office manager with administrative tasks as needed.
- Help maintain effective office procedures, particularly during busy tax-season periods.
- Perform other reasonable administrative duties as assigned.

Qualifications

- Previous experience in an administrative, bookkeeping, accounting, or professional office environment is preferred.
- Basic understanding of bookkeeping and accounting concepts is required.
- Basic understanding of the Canadian financial systems and economy is required.




- Experience with accounting software is an asset but not necessarily required.
- Comfortable using computers, email, Microsoft Office applications, spreadsheets, and electronic document management systems.
- Has a passion for problem solving and learning.
- Strong organizational skills and attention to detail is a must.
- Good numerical and data-entry accuracy is paramount.
- Strong verbal and written communication skills.
- Professional and courteous communication and appearance when dealing with clients.
- Ability to prioritize tasks and work efficiently during busy periods.
- Ability to work both independently and as part of a team.
- Willingness and ability to learn new software, procedures, and tax-related administrative processes.

This position involves access to highly confidential personal, financial, and tax information. The successful candidate must demonstrate discretion, sound judgment, and a strong commitment to protecting client confidentiality and following all office privacy and information-security procedures.

What We Are Looking For

We are looking for someone who is dependable, organized, detail-oriented, and comfortable taking initiative. The successful candidate should enjoy working with clients while also being able to focus carefully on there assigned tasks. Because tax season can be particularly busy, the ability to remain organized and accurate while managing multiple priorities is important.

Pay: $21.00-$24.00 per hour

Expected hours: 40.0 per week
