Building Manager Duties and Responsibilities The Building Manager is responsible for the daily operation, maintenance, safety, and overall appearance of the property. The Building Manager serves as the primary on-site contact for residents, contractors, and property management, ensuring that all building systems and common areas are maintained to a high standard.

Daily Responsibilities

Building Operations and Safety

- Inspect and clean the swimming pool and monitor chemical levels to ensure compliance with health and safety standards.
- Check all exit and entrance doors to ensure they are functioning properly and that life safety systems remain operational.
- Conduct inspections of visitor and resident parking areas for cleanliness, safety, and compliance with parking regulations.
- Inspect all mechanical and electrical rooms for proper operation, leaks, unusual conditions, and reporting of deficiencies.
- Monitor common areas for cleanliness, safety hazards, and maintenance requirements.

Daily garbage room responsibilities:

- Check garbage and recycling rooms for proper compactor operation.
- Monitor proper waste disposal practices.
- Monitor and address garbage overflow.
- Move waste, recycling, and organics into the correct bins before collection.
- Keep garbage room floors clean and free of debris and loose garbage.

Resident and Owner Services

- Respond to resident and owner inquiries, including:
- Key fobs and access devices
- Parking permits and passes
- General building concerns
- Unit-related issues
- Investigate reported concerns within units and report findings to the Property Manager when further action by the Strata Corporation may be required.
- Coordinate and supervise move-ins and move-outs in accordance with building procedures.

Contractor and Trade Coordination

- Provide building access to contractors and service providers.
- Schedule trades as approved by the Property Manager.
- Monitor contractor activity and ensure work is completed properly

· Monitor and verify that all contractors and service providers perform their work in accordance with the terms, scope, schedule, and service standards outlined in their contracts.
- Report to the Property Manager regarding:
- Trades on site
- Work in progress
- Completion status
- Contractor arrival and departure times

Weekly Responsibilities

Preventative Maintenance

- Inspect all doors throughout the building.
- Lubricate hinges, locks, and moving parts as required.
- Adjust door closers and perform minor repairs where applicable.
- Walk all stairwells and common corridors to identify maintenance or safety concerns.
- Replace burned-out light bulbs and report larger lighting issues.

Building Condition Inspections

- Inspect common property areas for damage, safety hazards, and maintenance requirements.
- Report deficiencies requiring contractor attention.

Monthly Responsibilities

Building Appearance and Upkeep

- Inspect hallways, walls, ceilings, and common areas for:
- Paint chips
- Scratches
- Minor damage
- General wear and tear
- Perform touch-up painting and minor cosmetic repairs where appropriate.
- Inspect and clean all exterior and interior drains to remove debris and ensure proper drainage.
- Inspect all drains for debris and clear as needed
- Review building maintenance logs and report recurring issues to the Property Manager.

Seasonal Responsibilities

Grounds and Exterior Maintenance

- Blow leaves and debris from walkways, driveways, and landscaped areas between scheduled landscaping visits.
- Apply ice melt and monitor walkways during freezing conditions.
- Remove snow from entrances, sidewalks, and critical access routes as required.
- Water plants and landscaped areas when needed and when irrigation systems are insufficient.
- Monitor seasonal conditions and take preventative measures to protect building systems and property.
- Inspect irrigation system for properly function and report all deficiencies
- Pressure wash building entrances and entry walkways
- Pressure wash pool decks and pool areas
- Pressure wash garbage and recycling rooms
- Pressure wash parkade entrances and loading areas
- Remove moss, algae, dirt, and staining from common property surfaces

General Responsibilities

- Maintain a professional and courteous relationship with residents, owners, contractors, and visitors.
- Ensure compliance with Strata bylaws, rules, and safety regulations.
- Keep accurate records of inspections, maintenance activities, contractor attendance, and resident requests.
- Immediately report emergencies, safety concerns,



major repairs, and bylaw violations to the Property Manager.
- Assist in maintaining the overall appearance, functionality, and value of the property through proactive maintenance and prompt response to building issues.

Communication Protocols

Communication with Property Manager The Building Manager shall maintain regular communication with the Property Manager and provide timely updates regarding building operations.

Immediate Notification Required

Notify the Property Manager immediately regarding:

- Fire or life safety incidents
- Flooding, significant leaks, or water ingress
- Elevator outages
- Security breaches or criminal activity
- Major equipment failures
- Significant damage to common property
- Insurance-related incidents
- Injuries occurring on common property
- Contractor emergencies or workplace safety issues

Daily Reporting

Provide updates regarding

- Trades and contractors on site
- Work completed
- Outstanding maintenance issues
- Resident concerns requiring management attention
- Security or safety concerns

Written Documentation

Maintain records of

- Contractor attendance
- Maintenance performed
- Resident complaints
- Incident reports
- Inspection reports
- Building deficiencies

Communication with Residents and Owners

- Respond to resident inquiries professionally and respectfully.
- Acknowledge requests promptly and provide realistic timelines where available.
- Direct residents to the Property Manager for matters involving:
- Bylaw enforcement decisions
- Legal matters
- Council decisions
- Financial information
- Insurance claims
- Formal complaints
- Maintain confidentiality regarding personal information and strata business.

Communication with Contractors

- Ensure contractors sign in and out when required.
- Explain building access and safety requirements.
- Ensure contractors comply with strata rules and building policies.
- Report contractor performance issues to the Property Manager.
- Confirm work completion and advise the Property Manager of any deficiencies.

Communication with Strata Council

Unless otherwise directed by the Property Manager:

- The Building Manager shall not take direction from individual Council members.
- Requests from Council members affecting building operations shall be communicated through the Property Manager.
- The Building Manager may provide information regarding building operations when requested.
- The Property Manager remains responsible for providing operational direction and authorization of major expenditures.

General Expectations The Building Manager shall:

- Conduct themselves professionally at all times.
- Maintain a visible and approachable presence on site.
- Protect the interests of the Strata Corporation.
- Follow all applicable safety regulations and WorkSafeBC requirements.
- Maintain confidentiality regarding owners, residents, contractors, and strata business.
- Promote the safety, cleanliness, appearance, and efficient operation of the property.

This position requires sound judgment, excellent communication skills, strong customer service, and a proactive approach to building maintenance and resident relations.

Emergency Procedures and Response Protocols

General Emergency Response The Building Manager shall act as the on-site representative of the Strata Corporation during emergencies and take all reasonable steps to protect life, safety, and property.

In any emergency, the Building Manager shall:

- Ensure personal safety and the safety of occupants.
- Contact emergency services (911) when required.
- Take immediate action to mitigate damage where secure to do so.
- Notify the Property Manager as soon as practical.
- Document all incidents, actions taken, and communications.
- Assist emergency responders by providing access, building information, and access to mechanical rooms, fire panels, and common areas.

Fire Emergency

Upon receiving a fire alarm or report of fire:

- Attend the fire panel and determine the alarm location if safe to do so.
- Contact 911 if emergency services have not already been notified.
- Meet and assist the Fire Department upon arrival.
- Provide access to mechanical rooms,



fire control rooms, electrical rooms, elevators, and affected areas.
- Do not reset the fire alarm system until authorized by the Fire Department or approved fire protection contractor.
- Report all incidents to the Property Manager immediately.
- Complete a written incident report.

Flooding and Water Leaks For significant water leaks, floods, or burst pipes:

- Locate and shut off the water source if possible and safe.
- Take reasonable measures to minimize property damage.
- Contact restoration contractors and emergency trades as authorized.
- Notify affected residents when necessary.
- Inform the Property Manager immediately.
- Document the location, cause, affected areas, and actions taken.

Elevator Emergencies

If an elevator becomes inoperative or occupants become trapped:

- Contact the elevator monitoring company and emergency elevator contractor immediately.
- Reassure trapped occupants and maintain communication where possible.
- Do not attempt to remove occupants from the elevator unless directed by emergency responders.
- Notify the Property Manager.
- Document the incident and contractor response.

Power Outages

During building power failures

- Verify whether the outage is building-wide or utility-related.
- Check emergency lighting systems and critical building equipment.
- Notify the Property Manager.
- Contact BC Hydro or appropriate utility providers when necessary.
- Monitor elevators, fire systems, garage gates, and life safety systems.
- Communicate updates to residents as directed by the Property Manager.

Medical Emergencies

When notified of a medical emergency:

- Contact 911 immediately if emergency services have not already been called.
- Provide building access and direct emergency responders to the location.
- Assist only within the limits of training and certification.
- Maintain resident privacy and confidentiality.
- Notify the Property Manager if the incident affects common property operations.

Security Incidents For break-ins, vandalism, suspicious activity, or criminal acts:

- Contact police when appropriate.
- Preserve evidence and avoid disturbing the scene.
- Secure affected areas where possible.
- Review available security footage if authorized.
- Notify the Property Manager immediately.
- Prepare a written incident report.

Natural Weather Events

During severe weather events, including snow, ice, windstorms, or extreme rainfall:

- Monitor property conditions and building systems.
- Clear and treat walkways, entrances, and emergency exits.
- Inspect drains and catch basins to ensure proper drainage.
- Coordinate emergency snow removal or contractor services as necessary.
- Communicate safety concerns to the Property Manager.
- Take reasonable preventative measures to reduce property damage.

Hazardous Materials and Gas Leaks

If a gas leak or hazardous substance is suspected:

- Evacuate the affected area immediately.
- Contact 911 and the appropriate utility provider.
- Prevent entry into the affected area until cleared by emergency personnel.
- Do not activate switches, equipment, or ignition sources.
- Notify the Property Manager immediately.
- Document the incident following resolution.

Emergency Communication Protocol The Building Manager shall maintain an up-to-date list of:

- Emergency contacts
- Property Manager contact information
- Council emergency contacts
- Fire monitoring company contacts
- Elevator contractor contacts
- Plumbing contractors
- Electrical contractors
- Restoration contractors
- Security contractors
- Utility providers

For all significant emergencies, the Building Manager shall provide the Property Manager with:
- Nature of the emergency
- Time of occurrence
- Actions taken
- Contractors or emergency services contacted
- Current status
- Recommended follow-up actions
- Photographs where applicable

Emergency Preparedness The Building Manager shall:

- Maintain familiarity with all building emergency systems.
- Know the location of shut-off valves, electrical disconnects, fire protection equipment, and emergency exits.
- Participate in emergency preparedness activities as required.
- Ensure emergency contact information is current.
- Maintain incident logs and emergency response records.

This Emergency Procedures section should form part of the Building Manager's Standard Operating Procedures and be reviewed annually with the Property Manager and Strata Council.

Pay: $60,000.00-$80,000.00 per year
