Immigration Case Processing Specialist
Full-Time | Permanent | On-Site
Location: Brampton, Ontario
Compensation: $3000-$3500, based on relevant experience and demonstrated skills
Schedule: Full time, on-site
Work Arrangement: In person only—this position is not remote or part-time.

We are seeking an experienced, organized, and detail-oriented immigration case processing specialist to join our immigration practice.
This position is intended for a candidate who already has practical experience working with immigration files and understands the importance of accuracy, confidentiality, deadlines, and professional client service.
Required Experience
Applicants should have a minimum of one year of hands-on immigration office or immigration file-processing experience, including practical experience with several of the following:
- Labour Market Impact Assessment (LMIA) applications
- Provincial Nominee Program (PNP) applications
- Permanent Residence applications
- Temporary Resident Visa (TRV) applications
- Work Permit and Study Permit applications
- Preparation and organization of supporting documentation and submission packages
Experience obtained outside Canada will also be considered where it is relevant to the position.
Key Responsibilities
Immigration File Processing
- Prepare immigration forms, application packages, document checklists, and supporting documentation under the supervision of a senior immigration consultant and/or lawyer.
- Review client documents for completeness, consistency, and formatting.
- Prepare and organize supporting evidence for LMIA, PNP, PR, TRV, work permit, study permit, and other immigration matters assigned by the supervising representative.
- Draft routine correspondence, document requests, file summaries, and application-related materials for review.
- Maintain accurate electronic client files, case notes, and document records.
- Monitor assigned deadlines and promptly identify missing documents or outstanding information.
- Assist with uploading, organizing,
and processing application materials in accordance with established office procedures and under appropriate supervision.
Client & Administrative Support
- Communicate professionally with clients to obtain documents, information, and application updates.
- Provide administrative and file-processing support while maintaining strict client confidentiality.
- Scan, combine, organize, edit, and optimize PDF documents and supporting evidence.
- Prepare professional documents and presentations using Microsoft Office, Adobe Acrobat Professional, and Canva.
- Maintain organized electronic records and internal file-management systems.
- Report directly to the senior immigration consultant/lawyer.
- Perform other reasonable administrative or file-processing responsibilities related to the position.
Language Requirement
Strong written and verbal English communication skills are required.
Professional proficiency in at least one of Punjabi, Hindi, or Gujarati is also required because this position involves regular communication with clients who prefer to receive service in these languages.
Candidates will be assessed on their actual language ability and their ability to perform the duties of the position.
Skills We Are Looking For The successful candidate should demonstrate:
- Minimum one year of relevant immigration file-processing experience.
- Strong knowledge of immigration forms and supporting-document requirements.
- Excellent attention to detail.
- Strong written communication and document-preparation skills.
- Ability to manage multiple files and deadlines simultaneously.
- Ability to work independently while following instructions and established procedures.
- Solid organizational and client-service skills.
- Proficiency with Microsoft Word, Excel, Outlook and Adobe Acrobat Professional.
- Experience using Canva and preparing professionally formatted documents.
- Good judgment when handling confidential and sensitive client information.
- Ability to work effectively in a professional, fast-paced office environment.
Important
This is an on-site position. Applicants must be able to reliably commute to our Brampton office.
Applicants must be legally entitled to work in Canada. We do not require Canadian citizenship or permanent resident status.
This is a file-processing and administrative support position. Immigration advice, legal opinions, representation, and final application strategy remain the responsibility of the supervising authorized immigration consultant/lawyer.
Training & Development
Paid onboarding and job-specific training will be provided to the successful candidate. Previous immigration file-processing experience is nevertheless required because this is not an entry-level position.
