X Position Summary

Reporting to the Program Manager, the Surgical Unit Clerk provides clerical and reception support to facilitate the day-to-day operations and supports patient flow of the Surgical Unit (including Surgical Short Stay). The Clerk serves as a primary point of contract for patients, families, team members and visitors, while maintaining accurate information and organized work environment. The Clerk supports documentation, order entry, coordination of admissions, transfers, and discharges, and ensures effective communication among team members and departments in accordance with Hospital policies and procedures.

Key Responsibilities

- Provides general reception services, including answering telephones, responding to patient call bells, directing visitors, and relaying messages in a timely and professional manner.
- Coordinates and tracks admissions, transfers, discharges, and direct admits, ensuring timely communication with the interprofessional team and support departments.
- Assists with arranging patient transfers, including booking ambulances and coordinating related documentation as required.
- Performs electronic order entry in the EMR as directed by nursing staff, ensuring accuracy and timely processing.
- Processes physician orders and supports chart assembly and disassembly, ensuring discharged charts are secured and forwarded to Health Records.
- Makes patient appointments with physicians or services at the request of nursing team members.
- Assists with receiving, distributing, and storing supplies, equipment, and items brought to the unit in accordance with unit processes.
- Maintains the nursing station and reception area in an orderly and organized manner.
- Demonstrates awareness of and supports the conservation of hospital supplies and equipment, ensuring stock levels are maintained.
- Updates unit tracking tools and logs (e.g., patient flow boards, internal tracking systems) to support situational awareness and patient flow.
- Performs photocopying, faxing, and other routine clerical tasks as required.
- Submits maintenance or support requests as required and participates in assigned unit safety checks
- Supports unit communication and workflow by responding appropriately to inquiries from patients, families, and team members referring clinical matters to nursing team members.
- Adheres to hospital policies related to confidentiality, privacy legislation, professional conduct, and infection prevention practices.




- Performs other duties as may be assigned by the direct manager and/or designate.

Qualifications

Education

- Ontario Secondary School Diploma or equivalent is required
- Successful completion of a Medical Terminology course required.
- Completion of relevant post-secondary program is preferred (such as Medical Office Administration)

Experience

- Minimum of one (1) year experience working in a clerical/administrative role required.
- Preference given to candidates with previous acute care experience.

Competencies

- Keyboarding skills; minimum of 40 words per minute required.
- Must be able to meet the physical and emotional responsibilities of the role, including standing and walking for extended periods, frequent and repetitive pushing, pulling, bending, and lifting up to 50 pounds, as well as safely operating equipment.
- Ability to meet the physical demands of the position, as outlined in the Physical Demands Analysis (PDA).
- Demonstrates proficiency in written and verbal communication, with strong interpersonal and organizational skills.
- Provides excellent customer service and contributes positively to teamwork and collaborative working relationships.
- Effectively prioritizes workload, adapts to changing priorities, and remains composed in fast-paced or stressful environments.
- Works independently with sound judgment, while remaining flexible to meet departmental and organizational needs.
