Construction Project Coordinator / Procurement Coordinator
HandKind Construction Co. – Paris / Brantford, Ontario
HandKind Construction is looking for an organized, capable Construction Project Coordinator / Procurement Coordinator to help manage the day-to-day details that keep residential renovation and construction projects moving.
This is not a traditional office-only administrative position, and it is not quite a full Project Manager role.
We are looking for someone who understands construction, can communicate confidently with trades, suppliers, clients and our field team, and can take ownership of purchasing, scheduling, documentation and smaller projects from start to finish.
The right person will become the link between our Project Manager, site foremen, suppliers, subcontractors and customers.
What You’ll Be Responsible For
Project Coordination
- Assist the Project Manager with active residential renovation and construction projects.
- Coordinate subcontractors, suppliers, inspections, deliveries and site requirements.
- Maintain project schedules and follow up with trades and suppliers to ensure commitments are being met.
- Help develop and maintain two-week project lookaheads.
- Track outstanding project decisions, selections, materials and dependencies.
- Communicate project information clearly between the office and field teams.
- Attend job sites when required to verify conditions, review progress or coordinate upcoming work.
- Help identify potential scheduling, material or scope problems before they affect the project.
Purchasing & Procurement A major part of this position will be making sure our crews have the correct materials before they need them.
Responsibilities include
- Review project drawings, scopes and material requirements.
- Prepare material lists in coordination with Project Managers and foremen.
- Request supplier and subcontractor pricing.
- Compare quotes and confirm quantities, specifications and lead times.
- Prepare and issue purchase orders.
- Order construction materials, fixtures and project-specific products.
- Confirm supplier delivery dates and follow up on outstanding orders.
- Coordinate deliveries to jobsites or our warehouse.
- Verify that materials received match what was ordered.
- Track backorders, shortages and damaged materials.
- Maintain accurate procurement records within our project management system.
- Help develop relationships with reliable suppliers and negotiate improved pricing and service.
Small Project Management Once established in the role, this person should be capable of independently coordinating smaller projects.
Examples could include
- Bathrooms
- Smaller kitchens
- Decks and porches
- Doors and windows
- Structural repairs
- Small renovation projects
- Service or deficiency work
For these projects, responsibilities may include:
- Confirming scope
- Preparing project schedules
- Coordinating crews and subcontractors
- Ordering materials
- Communicating with the customer
- Tracking progress
- Reviewing change requirements with the Project Manager
- Coordinating inspections
- Completing project closeout
Larger renovations, additions and complex projects would remain under the direction of the Project Manager.
Project Administration
- Maintain accurate project information within JobTread.
- Keep project schedules, purchase orders, work orders and documentation current.
- Track outstanding customer selections and approvals.
- Assist with subcontractor bids and scopes.
- Help match supplier invoices to purchase orders and projects.
- Review daily logs and site information for missing details or upcoming issues.
- Maintain organized project records, drawings, specifications and correspondence.
- Assist with change order documentation.
- Help prepare weekly project updates.
What We’re Looking For The ideal candidate understands that valuable construction management is largely about planning ahead and following through.
You should be
- Highly organized
- Comfortable managing many moving pieces at once
- Persistent with follow-up
- Confident speaking with trades, suppliers and customers
- Able to read construction drawings and specifications
- Familiar with residential construction materials and terminology
- Comfortable visiting active construction sites
- Capable of identifying missing information before it becomes a problem
- Comfortable making decisions within clearly defined authority
- Good at documenting conversations, commitments and decisions
- Strong with computers and project management software
- Able to work independently without needing constant direction
Preferred Experience We are open to several backgrounds.
A strong candidate could come from:
- Construction project coordination
- Assistant project management
- Residential construction
- Construction estimating
- Building material sales
- Contractor or supplier purchasing
- Construction administration
- Site supervision or carpentry with strong organizational skills
Residential renovation experience would be particularly valuable. Experience with project management software such as JobTread, Buildertrend, Procore or similar systems would be an asset.
What This Position Is Not
This is not simply a receptionist or administrative assistant position.
It is also not initially a senior Project Manager position.
You will not be expected to independently manage our largest projects, prepare every estimate, handle major contract negotiations or solve every technical construction issue.
Instead, you will be expected to own the coordination process: making sure information, materials, subcontractors and decisions are in place when the project needs them.
As your construction knowledge and project management abilities grow, there will be opportunities to take responsibility for increasingly larger projects.
Success in This Role A successful Project Coordinator should make our projects noticeably easier to run.
That means
- Crews are not waiting for materials.
- Purchase orders are issued before materials arrive.
- Suppliers know exactly what we need.
- Subcontractors know when they are expected.
- Customer selections are made before they affect construction.
- Project information is documented instead of living in someone’s memory.
- Upcoming problems are identified early.
- Small projects can move forward without requiring constant Project Manager involvement.
- The Project Manager can spend more time managing customers, budgets, major decisions and the overall construction program.
Ultimately, this position exists to help us run more organized, predictable and professional construction projects. Pay: From $50,000.00 per year
