Customer Service Representative

Blue Dog 3PL & Warehousing Inc., is a dynamic third-party logistics provider based in Caledon, ON, specializing in warehousing, freight management, and supply chain solutions. We leverage cutting-edge technology, including Microsoft Dynamics 365, to deliver exceptional service to our clients. We are seeking a Customer Service Representative to join our team on a full-time permanent basis.

Reporting to the supply Chain and Systems Operations Manager, The Customer Service Representative supports assigned customer accounts by processing orders, preparing shipping documents, responding to inquiries, verifying billing information and maintaining accurate records. This role coordinates closely with warehouse, transportation and accounting teams to help orders move accurately and on time.

Responsibilities:

Customer Service

- Serve as the main contact for assigned customer accounts.
- Respond to questions about orders, inventory, shipments and billing in a timely and professional manner.
- Coordinate solutions with internal teams and escalate disputes, service failures or exceptions to management.

Order Management

- Enter and review customer orders in company systems and customer portals.
- Confirm order details, inventory availability and customer-specific requirements.
- Process order changes and returns, and monitor orders from receipt through shipment.
- Maintain current customer profiles and order instructions.

Shipping Documentation

- Prepare labels, packing slips, Bills of Lading, Advanced Shipping Notices and other required documents.




- Verify shipment details and follow customer routing guides and retailer requirements.
- Coordinate shipping requirements with customers, carriers and warehouse personnel.

Billing Support

- Review operational activity and supporting documents for billing accuracy.
- Verify billable services and assist Accounting with billing questions or discrepancies.

Data Entry and Reporting

- Maintain accurate order, inventory, shipment, billing and customer data.
- Prepare required operational and customer reports.
- Maintain organized electronic records, including invoices, shipping documents, proofs of delivery and customer correspondence.

Other duties as required

Requirements

- 3 + years of experience in customer service, logistics, warehousing, transportation or a 3PL environment preferred.
- 3+ years of experience in order management, data entry and reporting
- 3+ years of experience in shipping documentation
- 3+ years of experience in billing and invoicing
- High school diploma or equivalent required. Post-secondary education in business, logistics or supply chain is an asset.
- Experience with ERP or warehouse management systems and customer portals is an asset.
- Strong Excel skills, including formulas, lookups, PivotTables and data reconciliation.

- Monday to Friday, 8:00 AM – 4:30 PM
