The Opportunity
We're looking for an an energetic, experienced Project Manager to take ownership of the day-to-day delivery behind those experiences.
This role is for someone who knows how to turn a plan into action, coordinate people and details, keep clients informed and ensure projects move forward with intention and precision.
We need someone who sees around corners. Someone who doesn't simply maintain a task list, but understands what needs to happen next, follows through without being chased, identifies risks early and is comfortable coordinating clients, contractors, vendors and multiple moving pieces.

What You'll Own
Project Management
You will own the day-to-day management of assigned Event Specialists projects from kickoff through closeout.
- Develop, maintain and actively manage project Critical Paths
- Ensure tasks have clear owners, deadlines and follow-up.
- Maintain accurate and current project information within Event Specialists' project management systems.
- Track decisions, approvals, dependencies and changes.
- Identify risks, missed deadlines and capacity concerns early.
- Keep multiple projects and workstreams moving simultaneously.
- Escalate issues involving scope, budget, timeline or client trust appropriately.
Client Management You will serve as the primary day-to-day contact for assigned clients and represent Event Specialists throughout the planning process.
- Lead regular client project meetings.
- Provide clear, proactive updates on progress, decisions, risks and upcoming deadlines.
- Follow up on outstanding information, decisions and approvals.
- Build trusted client relationships while maintaining clear project scope and boundaries.
- Anticipate client needs and help make the planning process feel organized and manageable.
- Ensure clients experience Event Specialists as one coordinated team regardless of who is working behind the scenes.
- Communicate with confidence, professionalism and sound judgement.
Event Delivery
- You will manage in-person, virtual and hybrid event projects, coordinating the appropriate resources based on each project's scope.
- Oversee the execution of production logistics onsite including audio visual, call times, communication with crew, vendor management, and other tasks as needed. You’ll take full accountability for the conference.
Team, Contractor & Vendor Coordination
- Coordinate the people and resources assigned to your projects.
- Establish clear expectations, deliverables and deadlines.
- Ensure everyone has the information they need to perform their role.
- Follow up when commitments or deadlines are at risk.
- Identify resource and capacity concerns early.
- Maintain clear accountability across project workstreams.
- Ensure project decisions and information are properly documented.
- Hold people accountable while maintaining strong working relationships.
What You Bring
- 5+ years of event, conference or complex project management experience.
- Demonstrated experience independently managing multiple client projects.
- Experience managing in-person events and familiarity with virtual or hybrid event delivery.
- Strong client and account management skills.
- Excellent written and verbal communication.
- Exceptional organization and follow-through.
- Experience managing vendors, contractors and cross-functional teams.
- The ability to identify priorities, dependencies and risks across multiple workstreams.
- Strong judgement and confidence making decisions within established authority.
- Comfort working in a quick-moving, client-service environment.
- Strong technology skills and the ability to quickly learn new platforms and systems.
- Availability for periodic onsite event delivery and travel.
- Experience with event platforms (swoogo, pheedloop, cvent preferred), virtual event technology, production workflows, executive-level clients or an event/agency environment is an asset.
Schedule & Work Environment
- This is a permanent part-time employee position of 20 hours per week.
- The regular schedule will be structured across the business week to provide continuity for clients and active projects.
- The position is remote, with Canadian candidates located within the Greater Toronto Area preferred.
- This position is expected to run events which occasionally are held on evenings and weekends.
- Travel will be required to support the conferences in Canada and the US.
