Reporting to the Parts Specialist

Are you ready to take ownership of your work and contribute to efficient daily team operations? As our Inside Parts Representative, you will be responsible for processing parts orders, supporting Service and customer requests, and resolving parts-related issues as they arise. This role focuses on accurate order execution, timely follow-up, and maintaining parts availability to support equipment uptime and customer needs.

What You’ll Do

- Take ownership of parts orders from initiation through fulfillment, ensuring accuracy, follow-up, and closure.
- Process parts orders across counter, phone, and internal Service requests with a focus on turnaround time and minimal errors.
- Take accountability for resolving parts-related issues, including sourcing challenges, backorders, and discrepancies.
- Communicate clearly with technicians, Service team members, and customers regarding parts status, timelines, and alternatives.
- Support inventory planning by reviewing usage trends and ensuring stock aligns with operational demand.
- Source parts through OEM and aftermarket vendors, prioritizing cost, availability, and lead time considerations.
- Coordinate inbound and outbound shipments, ensuring parts are received and delivered as expected.
- Maintain inventory accuracy through disciplined cycle counts and timely system updates.
- Be entrusted with warranty parts and vendor return processing, ensuring compliance and proper documentation.
- Maintain a clean, organized parts area that supports efficient daily operations.
- Other duties as directed by the Parts Manager and/or Parts Specialist.

- Consistent execution of established parts processes with minimal oversight.
- Clear, direct communication when issues arise, including timelines and proposed solutions.
- Focus on delivering measurable improvements in order accuracy, turn around times, and inventory reliability.

What You Bring

- 3+ years of parts experience, preferably in heavy equipment or material handling.
- Strong technical aptitude with the ability to read and interpret parts diagrams, schematics, and equipment specifications.
- Demonstrated working knowledge of parts processes, including ordering, sourcing, backorder management, and returns.
- Proven experience maintaining inventory accuracy, including cycle counts and stock control practices.
- Ability to manage workload independently, prioritize tasks, and consistently meet deadlines in a high-volume environment.
- Strong attention to detail with a high level of accountability for accuracy in orders, inventory, and documentation.
- Effective communication skills to support coordination with technicians, vendors, and internal teams.
- Forklift experience (training provided if required).
- Ability to lift to 70 lbs.
- Valid driver’s license and acceptable driver’s abstract.

Certifications & Assets:

- Red Seal Parts Technician certification or equivalencies (asset).
- Supply Chain Management Professional (SCMP) or similar certification (asset).
- Post-secondary education in supply chain management, business administration, or a related field (asset)
