Junior Project Coordinator
Position Summary The Junior Project Coordinator supports the Project Manager in the planning, coordination, monitoring, and successful execution of projects from initiation through completion. This role assists with maintaining project documentation, tracking project progress, coordinating resources and stakeholders, and supporting project reporting activities. The position also supports the development and maintenance of GIS-based mapping, databases, dashboards, and tracking systems to support project delivery and field operations.
Key Responsibilities
Project Coordination & Administration
- Assist the Project Manager with planning, scheduling, coordinating, and executing projects throughout the project lifecycle.
- Support the monitoring of project activities, milestones, deliverables, and deadlines to help ensure projects remain on schedule.
- Prepare, maintain, and distribute project progress reports, status updates, and project documentation.
- Participate in project meetings with project managers, field staff, clients, contractors, and stakeholders.
- Record meeting minutes, document decisions, and track action items to completion.
- Assist with communication between internal teams, vendors, clients, and stakeholders to facilitate effective collaboration.
- Help identify project risks, issues, and delays and communicate concerns to the Project Manager.
- Maintain project tracking tools, schedules, and project-related databases.
GIS Mapping & Data Management
- Assist in maintaining and updating GIS maps, dashboards, and GIS-based project tracking systems.
- Support the maintenance of GIS databases and help ensure data accuracy, integrity, and completeness.
- Verify field-collected data and completed work performed by field staff for accuracy and completeness.
- Produce basic mapping products, reports, and spatial data analyses to support project planning and decision-making.
- Assist with project closeout activities by preparing as-built drawings, GIS maps, redline updates, and other project deliverables.
Document Control
- Maintain organized, accurate, and current project records and documentation.
- Assist in managing and tracking permits, drawings, change orders, locate tickets, correspondence, contracts, and other construction-related documents.
- Ensure document version control and proper filing procedures are followed.
- Archive project records and closeout documentation upon project completion.
Logistics & Resource Coordination
- Assist with coordinating the pickup, transportation, and delivery of project materials and equipment.
- Support scheduling of field activities and coordination of resources required for project execution.
- Support communication between office and field personnel to help ensure project requirements are met.
- Track material and equipment requirements and communicate project needs to the project team.
Project Closeout
- Assist in preparing project closeout packages, including:
- As-built drawings and maps
- Redline revisions
- Final project documentation
- GIS database updates
- Required client deliverables
- Verify all project documentation is complete and submitted according to project requirements.
- Assist with compiling and organizing final project records for client submission.
Additional Responsibilities
- Perform other duties and special projects as assigned by the Project Manager.
- Participate in training and development opportunities to build project coordination, GIS, and project management skills.
- Support continuous improvement initiatives and contribute to the successful delivery of projects.
Qualifications
Skills
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams).
- Experience using ESRI ArcGIS, ArcGIS Online, and related GIS applications is considered an asset.
- Ability to interpret maps, spatial data, and project-related GIS information.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Solid attention to detail and problem-solving skills.
- Ability to work both independently and as part of a team.
- Valid G-Class Driver's License is considered an asset.
Pay: $45,000.00-$55,000.00 per year
