About MEL (Mountain Properties)

Mountain Enterprises Limited (MEL), also known as Mountain Properties, manages a portfolio of approximately 15 mainly commercial buildings across the South Okanagan.

MEL is transitioning away from outsourced property management and has been building an internal operations platform focused on strong tenant service, disciplined maintenance practices, long-term asset stewardship, and community benefit.

As part of that evolution, MEL is building internal capacity for leasing, tenant relationships, property operations, and long-term asset stewardship.

This position is an important part of that long-term vision.

The role

As the Leasing & Tenant Relations Manager, you'll serve as MEL's primary relationship manager for current and prospective tenants, helping strengthen tenant retention, improve occupancy, and ensure leasing activity is managed consistently across the portfolio.

This role combines relationship management, leasing, and disciplined administration. Success requires strong communication, consistent follow-up, sound judgement, and the ability to manage multiple leasing opportunities, renewals, tenant requests, and priorities across several commercial properties.

You'll lead leasing activity across the portfolio, including prospective tenant discussions, lease renewals, vacancy reduction efforts, and coordination of leasing proposals and documentation. You'll work closely with the General Manager, Director of Finance, Maintenance Manager, and other team members to ensure leasing opportunities, tenant needs, and renewal discussions move forward in a consistent and well-documented manner.

This role reports to MEL's General Manager and works closely with the Director of Finance.

What you’ll be responsible for

Vacancy Reduction and New Leasing

- Manage leasing opportunities across the portfolio from initial inquiry through occupancy.
- Qualify prospective tenants, coordinate tours, and prepare leasing proposals.
- Maintain an accurate leasing pipeline and consistent follow-up with prospective tenants.
- Lead vacancy reduction efforts across the portfolio.
- Coordinate with management, brokers, and external leasing professionals as appropriate.

Lease Renewals and Tenant Retention

- Monitor upcoming lease expiries and lead renewal discussions.
- Prepare renewal proposals and maintain consistent follow-up throughout the renewal process.
- Identify tenant concerns, retention risks, and expansion opportunities.
- Build and maintain solid professional relationships with tenants.
- Ensure renewal discussions, commitments, and next steps are documented appropriately.

Tenant Relationships and Communication

- Serve as a primary point of contact for leasing and tenancy-related matters.
- Maintain positive relationships with current and prospective tenants.
- Coordinate with finance, maintenance, and other team members to address tenant needs and opportunities.
- Support tenant move-ins, move-outs, expansions, relocations, and other occupancy changes.

Leasing Administration and Documentation

- Maintain accurate lease, tenant, vacancy, and prospect records.
- Coordinate preparation, execution, and filing of lease documentation.
- Maintain lease abstracts, critical dates, and supporting records.
- Use Buildium and other MEL systems consistently to support leasing activity, reporting, and follow-up.

Property Marketing and Leasing Activity





- Maintain vacancy listings and marketing materials for available spaces.
- Coordinate leasing signage, photographs, floor plans, and other marketing content.
- Ensure available units are presented professionally and accurately.
- Monitor leasing activity and marketing effectiveness.

CAM Reconciliation and Financial Coordination

- Support MEL's annual CAM reconciliation process.
- Maintain lease information and supporting documentation required for CAM reconciliations.
- Coordinate with the Director of Finance and accounting team regarding lease administration, tenant information, and recoveries.
- Support budgeting, forecasting, and reporting by maintaining accurate lease, renewal, and vacancy information.

Experience & qualifications

Required

- Property Management Licence.
- Experience in commercial leasing, commercial property management, tenant relations, real estate, or a related field.
- Strong relationship-building, communication, and customer service skills.
- Demonstrated ability to manage multiple priorities, maintain accurate records, and follow through on commitments.
- Comfortable working independently while collaborating closely with colleagues, tenants, brokers, and other partners.
- Sound judgement, professionalism, and strong attention to detail.
- Valid driver's licence and clean driving record.

Assets (nice-to-have)

- Experience with commercial lease renewals, lease administration, and tenant retention activities.
- Experience with Buildium or similar property management software.
- Experience supporting CAM reconciliations and property-level financial reporting.
- Experience coordinating leasing marketing activities, listings, and broker relationships.
- Experience working with community organizations, nonprofits, or social-purpose enterprises.

Not a fit if

- You struggle with consistent follow-up or keeping track of details.
- You prefer transactional interactions over building long-term tenant relationships.
- You dislike documentation, administration, and maintaining accurate records.
- You are uncomfortable managing multiple priorities across different properties and tenants.
- You prefer working entirely independently and don't enjoy collaborating with others.
- You are uncomfortable traveling between MEL properties as part of your regular work.

What success looks like (first 90 days)

- You've become familiar with MEL's properties, tenants, vacancies, lease structures, and upcoming lease expiries.
- Leasing opportunities, renewals, tenant information, and vacancy data are organized, up-to-date, and being managed consistently.
- Strong working relationships have been established with tenants, prospective tenants, brokers, and MEL staff.
- Vacancy reduction and tenant retention activities are progressing through a clear and documented process.
- You understand MEL's leasing practices, approval processes, and CAM reconciliation requirements.
- The General Manager has greater capacity to focus on business development, partnerships, portfolio strategy, and future growth opportunities.

Work environment





- This role is based in Penticton with regular travel between buildings; occasional travel to Okanagan Falls and Osoyoos.
- MEL has office space available as needed, but the role also involves regular tenant meetings, property visits, and leasing tours.
- You'll work closely with MEL's General Manager, Director of Finance, Commercial Maintenance Manager, accounting team, tenants, brokers, and other partners.

Reporting relationship

You will report to MEL's General Manager.

You will work closely with MEL's Director of Finance and accounting team.

Hours and schedule

- Full-time employee role
- Expected hours: 37.5 hours/week

Compensation and perks (some items TBD pending board decisions)

- Salary range: $70,000–$80,000
- Benefits: Extended health benefits offered after three month probationary period
- Vacation / paid time off: three weeks
- RRSP 5%: available after three month probationary period
- Cell phone: $75 / month allowance
- Vehicle / travel: having a personal vehicle available for travel between properties is required
