Salary: $60,000-$75,000
Our client is looking for a motivated professional to provide hands-on support to counsel through document drafting, file management, and day-to-day legal administration in a fast-paced practice. The successful candidate will play a key role in ensuring files are properly maintained, deadlines are met, and documents are prepared accurately and efficiently. This role is primarily an in-office job, with some limited opportunities to work from home.
Responsibilities:
- Draft, prepare, and format legal documents, pleadings, correspondence, and court materials with a high level of accuracy and attention to detail.
- Manage and maintain client files in both electronic and physical formats, ensuring proper organization, version control, and easy retrieval of documents.
- Diarize critical deadlines, court dates, and limitation periods, and monitor files to ensure timelines are met.
- Assist with court filings and service of documents in accordance with procedural and court requirements.
- Prepare and assemble application records, affidavits, and court binders as required.
- Communicate professionally with clients, opposing counsel, courts, and external agencies by phone and email.
- Perform data entry and update case management systems to ensure accurate and current file information.
- Schedule appointments, hearings, and meetings for counsel and clients.
- Provide general administrative and clerical support, including scanning, copying, filing, and mailing documents.
- Handle confidential and sensitive information with discretion and professionalism.
- Support the legal team with day-to-day file management to ensure matters proceed efficiently and smoothly.
Qualifications:
- Completion of post-secondary education in Legal Assistant or Paralegal Studies.
- Minimum of 2 years of legal experience in a law firm (preferably a law firm specializing in insurance defence litigation and/or personal injury law).
- Robust legal drafting, proofreading, and document preparation skills.
- Excellent organizational and file management abilities with a proven ability to manage multiple files and deadlines.
- Client-focused with a commitment to delivering exceptional service and maintaining a high level of professionalism.
- Ability to follow instructions accurately and work with minimal supervision.
- Positive, motivated self-starter who takes initiative and demonstrates strong work ethic.
- Strong written and verbal communication skills.
- High attention to detail and commitment to accuracy in all work performed.
- Proficiency with document management systems and standard office software applications.
- Ability to handle confidential and sensitive information with discretion and professionalism.
