Under the direction of the Senior Vice Provost for Research and Graduate Education and the Associate Provost of Graduate Education, OGE partners with deans, academic units, GSG and University governance on recruitment and retention, fellowships and financial aid, academic assessment, and program review to continually improve the quality of graduate education at DU.
In consultation with the Provost and Graduate Council, OGE is responsible for the authorship and oversight of graduate policy, upholding standards with fairness and respect to all. In all that we do, the OGE supports the University's commitment to creating a diverse, ethical, and intellectually vibrant campus community.
Position Summary The Operations Coordinator reports to the Director of Business and Operations and plays a key role in supporting the daily operations of the admissions and student services functions. This position develops a strong understanding of office workflows and coordinates priorities across teams to ensure equitable and effective support.
The Operations
Coordinator oversees and assigns work to student employees, balances staffing needs, and ensures the front desk and reception area operate efficiently and professionally. Through collaboration, organization, and supervision, this role contributes to a positive service experience for prospective and current graduate students.
Essential Functions
Student Employee Supervision and Development
- Recruit, interview, hire, train, schedule, and supervise student employees in coordination with the Associate Directors of
- Enrollment and Student Services. Assign and monitor work, lead regular check-ins, and conduct bi-annual performance evaluations to ensure consistent coverage and high service standards.
Admissions Operations Support
- Provide administrative support to the admissions team by responding to prospective student inquiries, processing application fee waivers, scanning and uploading transcripts, assisting with transcript review, maintaining applicant files, and supporting application review and decision release during peak admission cycles.
Marketing and Operations Associate
- Assist with Halda implementation – coordinating with the units, gathering content, testing bots, scheduling weekly calls, etc. Lead Halda testing – quiz, RFI on DU.edu, college bots. Analyze performance of DU Forward initiatives – EnrollmentFUEL, grad search campaign, SEO, Halda, etc., recommend future executions or tests to consider, and share performance with grad marcomm leads.
- Manage Techint for SEO recommendations and implementation – coordinate cadence of work, share recommendations with the colleges, review performance metrics, etc. Lead Lightcast PII campaign – pull data from Lightcast to recommend and build targeted campaigns
Student Services Administrative Support
- Support the student services team by coordinating and processing oral defense paperwork, responding to general inquiries, formatting theses and dissertations, receiving and managing student forms, and assisting with other related administrative duties as assigned.
Graduation and Degree Certification Support
- During high-volume graduation periods, assist with graduate degree certification processes, management of graduation applications (including late and delayed submissions), and provide logistical support for spring and summer commencement ceremonies.
Front Desk and Office Operations Management Knowledge, Skills, and Abilities
- Ability to manage time effectively, prioritize competing tasks, and meet deadlines in a fast-paced office environment.
- Strong customer service skills with the ability to communicate respectfully and effectively with students, faculty, staff, and diverse populations.
- Excellent written and verbal communication skills, including the ability to convey information clearly, accurately, and professionally.
- Ability to interpret and clearly communicate university policies and departmental procedures to a variety of audiences.
- Demonstrated discretion, sound judgment, and professionalism when handling sensitive information and complex situations.
- Comfortable using technology and learning recent software systems to support administrative and operational needs.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook, to produce documents, maintain records, and manage communication.
- Professional telephone manner and problem-solving skills to respond effectively to inquiries and resolve routine issues.
Required Qualifications
- Bachelors degree
- 2 years of administrative/office experience in a customer service role
- Experience with Microsoft Office products including MS Word, Excel and Outlook
Preferred Qualifications
- Experience using Ellucian Banner, Technolutions Slate or similar systems
- Office experience in a higher education setting
- One year of supervisory experience
Working Environment
- Standard office workplace.
- Unexpected interruptions occur often and stress level is moderate to high.
- Noise level is quiet to moderate.
Physical Activities
- Ability to work in front of a computer for extended periods of time.
- Occasionally required to move about the office/campus.
Work Schedule Monday - Friday, 8:00 a.m. - 4:30 p.m. In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Salary Grade Number:
The salary grade for the position is 7.
Hourly Range:
The hourly range for the position is $24.00 - $28.00.
The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
