Our client is a leading commercial real estate developer based in downtown Toronto, seeking an Office Manager & Marketing Coordinator on a 12-month contract basis to join their lean, dynamic, and committed team. This is a hands-on role that provides support to the senior Leadership Team while overseeing the day-to-day operations of the corporate office and assisting with marketing initiatives.

Working closely with a team of 10, the successful candidate will play an important role in keeping the office running smoothly, supporting senior leadership, and contributing to the company’s marketing activities as needed.

Please note that the role works 4 days/onsite and 1 day/work from home.

RESPONSIBILITIES:

Office Management & Executive Support

- Oversee the smooth day-to-day functioning of the corporate office and provide administrative support to the senior Leadership Team and broader team.
- Establish and manage administrative processes that enhance the effectiveness and efficiency of the team and company.
- Maintain corporate records and manage filing systems, including utility and security documentation.
- Coordinate and troubleshoot office services, including software, IT, communications, and other workplace needs.
- Coordinate meetings, events, and office logistics, including scheduling, catering, expenses, and other arrangements.
- Manage incoming phone calls, emails, mail, and general office communications.
- Manage relationships with building management, facilities, and external service providers.
- Assist with the administrative onboarding of new employees.
- Serve as a key point of contact for administrative and staff-related matters.
- Foster a welcoming, professional, and productive office environment.
- Take on additional administrative tasks and special projects as required.

Marketing Support

- Provide support for marketing initiatives related to leasing and land development.
- Assist with the preparation and updating of marketing materials, including brochures, presentations, and site plans.




- Maintain and update website content as required.
- Conduct market research and assist with various marketing initiatives and projects.
- Support the company’s digital and social media presence.
- Work collaboratively with the team to identify opportunities to enhance marketing materials and communications.

REQUIRED EXPERIENCE & SKILLS:

- Post-secondary degree or diploma.
- 5 years of experience in a similar Office Manager, Executive Assistant, or related role.
- Strong proficiency with Microsoft Office and an aptitude for learning new software and marketing tools. Experience with Adobe Creative Suite and WordPress would be an asset.
- Proven ability to manage multiple priorities and meet deadlines with minimal supervision.
- Excellent written and verbal communication skills.
- Legally authorized to work in accordance with applicable provincial and Canadian legislation and regulations.
- Willingness and ability to successfully complete a security and criminal background check.

- Have an interest in or willingness to support marketing initiatives and are comfortable learning new systems and tools.
