About the Position
Porter Office Services is looking for an organized and dependable Operations Coordinator / Installation Scheduler to support our commercial office furniture, architectural wall/glass, moving, delivery, and field-service operations.
This is a hands-on office coordination role working closely with our Operations Manager, field crews, customers, warehouse staff, and Accounting.
Minimum 1 year of relevant experience is required.
Relevant experience may include scheduling, operations coordination, construction administration, installation coordination, commercial interiors, field service, or similar work.
This is not a general trucking dispatch or senior Project Manager position.

Main Responsibilities
- Prepare and update daily and weekly crew schedules.
- Schedule installers, movers, drivers, vans, and trucks.
- Confirm job addresses, start times, site contacts, access requirements, and crew assignments.
- Communicate schedule changes and follow up on late arrivals, call-ins, and no-shows.
- Coordinate warehouse pickups, deliveries, staging, and material readiness.
- Create and update work tickets, work orders, and installer job packages.
- Maintain accurate job numbers, PO information, scope, drawings, and project documentation.
- Review timesheets for correct jobs, dates, start/finish times, regular hours, and overtime.
- Follow up on missing or incomplete timesheets, receipts, and paperwork.
- Check contractor invoices against approved timesheets when assigned.
- Organize fuel, parking, ferry, disposal,
and other project receipts.
- Assist with simple estimates and quotes using approved company rates and templates.
- Help with basic job costing and flag cost or PO discrepancies.
- Document possible additional work or change-order items for management review.
- Assist with office furniture, architectural wall/glass, relocation, and service projects.
- Review basic floor plans and installation drawings.
- Track shortages, damaged materials, deficiencies, and return service work.
- Monitor active jobs and obtain updates from team leads.
- Collect signed work orders, project photos, completion reports, and other closeout documentation.
- Communicate professionally with installers, customers, furniture dealers, project managers, GCs, suppliers, and building contacts.
- Update IQ Software or similar systems with schedules, labour assignments, job status, and notes.
- Help ensure project files are complete before Accounting invoices the customer.
- Assist the Operations Manager with other day-to-day operational and administrative tasks.
Required Qualifications
- Minimum 1 year of relevant experience.
- Experience in scheduling, operations coordination, construction administration, installation coordination, or field-service support.
- Robust organization and attention to detail.
- Comfortable checking timesheets, receipts, and job paperwork.
- Able to manage several active jobs and priorities at the same time.
- Strong professional phone and email communication.
- Basic to intermediate Microsoft Excel skills.
- Strong Microsoft Outlook skills.
- Comfortable learning new software.
- Comfortable working in a fast-paced environment where schedules can change quickly.
- Applicants must be legally authorized to work in Canada.
Preferred Experience Experience in any of the following is an asset:
- Commercial office furniture
- Furniture installation or dealerships
- Commercial moving
- Architectural walls or glass
- DIRTT or similar systems
- Commercial interiors
- Construction administration
- Installation scheduling
- Work-order systems
- Timesheet administration
- Basic estimating or job costing
Ability to read basic floor plans or installation drawings is also an asset.
Work Environment
This is primarily an in-office position supporting field crews throughout Metro Vancouver and other areas of British Columbia.
Regular hours are Monday to Friday. Some projects may begin early, run after hours, or take place on weekends, so occasional communication outside regular office hours may be required.
Candidates with direct experience in commercial office furniture, architectural walls/glass, construction coordination, or installation scheduling may qualify toward the higher end of the range.

Pay: $22.00-$28.00 per hour
