This is Sundays Inc. is a well-established medical aesthetics clinic with a strong reputation for thoughtful care, professionalism, and patient trust. Our Halifax location is growing, and we are seeking a Patient Experience and Clinic Coordinator to support daily operations and serve as a consistent, confident presence within the clinic.

This role is based exclusively in Halifax and is ideal for someone who takes pride in professionalism, enjoys responsibility, and understands the importance of first impressions in a patient-facing environment.

The role

The Patient Experience & Clinic Coordinator plays a key role in the day-to-day function of the clinic. This individual supports operational systems while also acting as the primary front-facing presence for patients and staff.

This position requires confidence, strong communication skills, and the ability to lead by example. The successful candidate will be comfortable taking ownership, anticipating the needs of the clinic, solving problems confidently, and ensuring every patient feels welcomed, comfortable, and well cared for. This person will be responsible for setting the tone for the patient experience, clinic setting, and ensuring a consistently high standard of service.

Key responsibilities The Clinic Coordinator is responsible for helping the Halifax clinic operate seamlessly each day. Because members of the leadership team are not always physically present at this location, this role requires someone who can be trusted to take ownership, communicate consistently, and confidently manage the day-to-day needs of the clinic.

Responsibilities include

- Overseeing the daily front-of-house operations of the Halifax clinic and ensuring the space is organized, prepared, and running smoothly.
- Serving as the primary on-site point of contact for patients, practitioners, and leadership.
- Creating a welcoming and professional experience for every patient, from their first phone call or message through to their departure from the clinic.
- Speaking confidently and naturally with patients about our treatments, services, products, and booking options.
- Supporting patients who may feel nervous, uncertain, or overwhelmed with patience, warmth, and sound judgment.
- Managing appointment scheduling, patient communication, clinic flow, and changes that arise throughout the day.




- Remaining adaptable when schedules shift, patient needs change, or unexpected issues arise.
- Working closely with practitioners, the Office Manager, and clinic leadership to keep information clear, accurate, and consistent.
- Recognizing when something needs attention, taking appropriate action within the scope of the role, and escalating concerns when necessary.
- Supporting staff scheduling, internal communication, and coordination between the Halifax and Sydney locations.
- Ensuring front-desk systems and workflows are followed consistently and professionally.
- Assisting with inventory tracking, ordering, and overall clinic organization.
- Supporting the implementation and ongoing use of clinic policies and standard operating procedures.
- Identifying gaps or inefficiencies and bringing forward practical solutions.
- Upholding the standards, values, and culture of This is Sundays, even when leadership is not physically present.
- Supporting clinic marketing and social media initiatives.
- Assisting with clinic events, treatment launches, promotions, and community-facing initiatives.

Qualifications and attributes

We are looking for someone who understands the level of trust and responsibility this position carries. The right person will be confident working independently while also recognizing that solid communication and collaboration are essential in a remotely managed location.

The ideal candidate will have:

- Two or more years of experience in a patient-facing administrative, healthcare, hospitality, operations, or medical aesthetics role is preferred.
- A confident, polished, and professional communication style, both in person and over the phone.
- A genuine enjoyment of speaking with people and helping them feel comfortable.
- An interest in learning about medical aesthetics, skincare, and the treatments and services offered at Sundays.
- The confidence to discuss services, answer general questions,



and help patients determine the appropriate next step without providing clinical advice outside the scope of the role.
- Strong organizational skills, attention to detail, and consistent follow-through.
- The ability to prioritize responsibilities and make appropriate decisions without requiring constant direction.
- A high degree of adaptability and the ability to stay composed when plans or priorities change.
- Patience and professionalism when navigating scheduling challenges, patient concerns, and the competing needs of a busy clinic.
- Strong collaborative skills and the ability to work closely with practitioners, administrative staff, and off-site leadership.
- A calm, practical, and solutions-focused approach to problems.
- The judgment to know what can be handled independently and when leadership needs to be involved.
- Comfort learning and using digital scheduling, communication, and clinic management systems.
- A genuine interest in contributing to the growth and long-term success of This is Sundays.
