Position Summary The Property Maintenance Coordinator supports the safe, reliable, and cost-effective operation of AHANS’ Yarmouth housing portfolio. This is a hands-on and highly independent field role that combines routine maintenance and minor repairs with physical property inspections, preventive maintenance planning, scoping, contractor site coordination, budgeting, and documented follow-through.

Working in close partnership with the Property Administrator, Property Manager, and Operations team, the Property Maintenance Coordinator identifies needs early, resolves matters within their capability and authority, and ensures work requiring external trades or contractors is clearly scoped, scheduled, monitored, identify & track deficiencies, and sign off on completed work. The role is primarily accountable for field execution and technical follow-through, while the Property Administrator remains the primary office-based contact for tenants and leads administrative tracking, resident notices & documentation, and property-management system processes.

Key Responsibilities

Property Operations & Site Inspections

- Conduct regular, documented inspections of assigned properties to identify deficiencies, safety concerns, maintenance needs, or operational issues.
- Monitor & perform site assessments of maintenance requests submitted by tenants & AHANS staff.
- Monitor common areas, vacant units, building exteriors, and grounds to ensure they remain clean, safe, secure, and operational.
- Conduct fire safety walkthroughs & update Fire Safety Plan documents.
- Monitor seasonal and contracted services, including snow and ice control, salting, lawn care, waste removal, and other property services.
- Support unit turnover activities, including move-out inspections, minor repairs, readiness checks, and perform or coordinate required vendor work.
- Identify property deterioration, emerging repair needs, and safety hazards; take immediate reasonable steps to reduce risk and escalate urgent concerns.

Maintenance & Minor Repairs

- Complete routine maintenance, minor repairs, and basic troubleshooting across residential properties, common areas, building systems, and exterior areas within the employee’s training and competence.
- Respond to maintenance work assigned or escalated through the Property Administrator, Property Manager, or Operations team; assess urgency and complete appropriate work.
- Recognize when licensed or specialized trades are required and promptly recommend or arrange qualified support within approved authority.
- Maintain tools, equipment, supplies, and basic inventory in safe working order and identify replacement or replenishment needs.
- Support emergency maintenance response activities when required.

Preventive Maintenance Planning





- Develop and maintain practical preventive maintenance schedules and checklists for the Yarmouth portfolio.
- Plan work by priority, risk, resident impact, seasonality, and budget, and track open items through completion.
- Document work completed, inspection findings, service histories, warranties, and contractor activity.
- Recommend longer-term maintenance priorities and provide information to support annual operating and capital planning.

Contractor Coordination & Cost Control

- Develop transparent technical scopes, obtain quotes, and coordinate contractor site access and scheduling with the Property Administrator.
- Communicate clear work expectations, monitor contractor performance, and confirm work is completed satisfactorily before recommending invoice approval.
- Promptly follow up on incomplete or deficient contractor work.
- Provide estimates, quote comparisons, completion confirmation, and cost information to support monthly maintenance-budget tracking.
- Work within approved budgets and purchasing limits and flag variances, recurring costs, or potential savings.
- Build effective working relationships with local service providers and help maintain a reliable vendor network.

Administrative Responsibilities

- Maintain accurate records related to inspections, maintenance activities, contractor work, service histories, warranties, and outstanding items.
- Provide timely maintenance updates and supporting documentation to the Property Administrator and Property Manager.
- Use organizational systems, work-order tools, and property-management software as required.
- Communicate regularly with the Property Administrator, Property Manager, and Operations team regarding priorities, risks, delays, and completed work.

Resident Service, Safety & Team Support

- Interact respectfully and professionally with tenants, colleagues, partners, contractors, visitors, and community service providers.
- Coordinate tenant-facing access, scheduling, and service-interruption communication through the Property Administrator, except where immediate operational or safety communication is required.
- Follow AHANS policies, safe work practices, privacy requirements, and applicable occupational health and safety procedures.
- Participate collaboratively with property staff, service providers, and support teams to help maintain safe and well-operated properties.

On-Call & Emergency Response

- Participate in AHANS’ rotating on-call schedule for weeknight and weekend emergency maintenance or operational coverage, as required.
- Respond to urgent property-related concerns during evenings and weekends when required / or necessary.
- Support emergency personnel and first responders when required.

Additional Duties





- Perform additional duties as assigned in support of operational and organizational needs.

Qualifications & Experience Education & Experience

- Previous experience in residential property maintenance, building operations, facilities maintenance, construction, property management, or a closely related environment is preferred.
- Demonstrated experience completing a range of minor repairs and maintenance tasks safely and competently.
- Experience coordinating contractors, planning work, tracking costs, or maintaining preventive maintenance programs is considered an asset.
- High school diploma or equivalent; relevant trade, building-systems, safety, or facilities training is considered an asset.
- Experience working in residential environments is considered an asset.

Knowledge, Skills & Abilities

- Strong practical maintenance, troubleshooting, and problem-solving abilities.
- Ability to work independently, take initiative, and follow assigned work through to completion.
- Strong planning and organizational skills with the ability to manage competing priorities across multiple properties.
- Sound judgment when balancing safety, quality, resident impact, urgency, and cost.
- Strong interpersonal and communication skills and the ability to interact professionally with tenants and contractors.
- Basic understanding of building systems, preventive maintenance, and safe work practices.
- Ability to maintain accurate records, confidentiality, and professionalism.
- Comfort using email, work-order systems, Microsoft Office, and property-management software (or ability to learn & utilize).

Work Conditions & Physical Requirements

- Frequent movement throughout residential properties, including walking stairs, conducting inspections, and travelling between sites.
- Regular standing, walking, bending, reaching, and use of hand or power tools.
- Moderate physical activity, including safely lifting and carrying materials or equipment commonly required for routine property maintenance, with reasonable accommodation where applicable.
- Exposure to indoor and outdoor working conditions, including changing weather, while conducting inspections or maintenance activities.
- Occasional work outside regular hours and participation in an on-call rotation are required.

Hours of Work Approximately 37.5 hours per week, with occasional evening, weekend, and on-call responsibilities.

Employment Requirements

- Valid driver’s licence and reliable transportation for regular travel between Yarmouth-area properties.
- Proof of eligibility to work in Canada.
- Satisfactory criminal record and other background checks as required by AHANS for the position.
