Passgo Real Estate Law

Love real estate law but ready to step away from managing files?
We're looking for an exceptionally detail-oriented Real Estate Accounting & Trust Administrator to join our growing team.
This position could be a great fit for an experienced real estate paralegal looking to transition into a more internal role or someone with a background in legal accounting who enjoys the financial side of real estate transactions.
We're looking for someone who understands how money moves through a real estate transaction, takes accuracy seriously and enjoys supporting a busy team behind the scenes.
About PassGo Real Estate Law
PassGo Real Estate Law is on a mission to streamline real estate transactions so clients can close with ease and confidence.
Our vision is to be the most trusted name in real estate law — setting the standard for excellence in the industry, building lasting relationships with clients and partners, and fostering a culture of trust, transparency and innovation.
What You'll Be Doing
You'll play an essential role in managing our day-to-day financial transactions, supporting our real estate paralegals and working closely with our external bookkeepers and payroll company.
Your responsibilities will include
- Trust accounting: Processing daily trust receipts, deposits, disbursements, transfers and other trust transactions in accordance with the Law Society of Alberta's trust accounting requirements.
- Real estate transactions: Preparing and processing wire transfers, mortgage advances, sale proceeds and other real estate-related financial transactions.
- Accounts payable: Managing vendor invoices, processing payments and maintaining accurate expense records.
- Accounting software: Using Soluno to record and manage daily trust transactions, accounts payable and other financial activities.
- External bookkeeping coordination: Working closely with our external bookkeepers, providing financial records, resolving discrepancies and assisting with month-end accounting processes.
- Payroll support:
Handling limited payroll-related administrative tasks with our external payroll company.
- Paralegal support: Working alongside our real estate team to coordinate financial transactions, troubleshoot accounting issues and ensure funds are received and disbursed accurately and on time.
- Financial oversight: Monitoring transactions, identifying discrepancies and ensuring our financial procedures are consistently followed.
What We're Looking For
Our ideal candidate has
- Previous experience in residential real estate conveyancing, legal accounting or a similar role involving real estate financial transactions.
- A strong understanding of the Law Society of Alberta's trust accounting rules and procedures.
- Experience processing trust transactions, wire transfers and other real estate-related financial transactions.
- Familiarity with Soluno or comparable legal accounting software.
- Experience working with external bookkeepers or accounting professionals.
- Exceptional attention to detail and strong organizational skills.
- The ability to manage competing priorities and meet deadlines.
- Confidence with technology and a willingness to learn new systems.
- A proactive approach to identifying and resolving discrepancies.
Above all, we're looking for someone who is exceptionally detail-oriented. You're the person who double-checks account numbers, catches discrepancies before they become problems and understands the importance of accuracy when handling client funds.
It Would Be an Asset If You Have
- Previous experience as a residential real estate paralegal or conveyancer.
- Hands-on experience using Soluno.
- Experience preparing or assisting with monthly trust reconciliations.
- General bookkeeping or legal accounting experience.
