We are seeking a professional, detail-oriented, and client-focused Receptionist / Administrative Assistant / Tax Preparer to join our public accounting firm. This multifaceted role is responsible for providing exceptional front-office customer service, administrative support to accounting staff, and assistance with the preparation of personal income tax returns during tax season. The successful candidate will be highly organized, proficient with technology, and able to manage multiple priorities in a fast-paced professional environment.

Key ResponsibilitiesReception and Client Service

- Greet clients and visitors in a skilled and courteous manner.
- Answer and direct incoming telephone calls and emails.
- Schedule appointments and maintain staff calendars.
- Manage incoming and outgoing mail, courier packages, and electronic correspondence.
- Maintain reception and meeting areas in a skilled manner.
- Assist clients with document collection and requests.

Administrative Support
- Prepare engagement letters, correspondence, reports, and other client documents.
- Maintain client files in electronic format in accordance with firm policies.
- Scan, organize, and upload client documents to document management systems.
- Assist with billing, invoicing, collections follow-up, and accounts receivable administration.
- Order office supplies and coordinate office maintenance requirements.
- Support owner and staff with special projects and administrative tasks.
- Ensure confidentiality and security of client information at all times.

Tax Preparation Support
- Prepare personal income tax returns (T1) and related schedules.
- Gather, review, and organize tax information received from clients.
- Identify missing tax slips and other required documentation.
- Communicate with clients regarding tax information requests and return status updates.
- Prepare and submit electronic tax filings (EFILE) as authorized.
- Assist with CRA correspondence and client tax inquiries.




- Keep current with changes to federal and provincial tax legislation affecting individual taxpayers.

Qualifications, Education and Experience
- Post-secondary education in business administration, accounting, bookkeeping, or a related field preferred.
- Previous experience in a public accounting firm is considered an asset.
- Experience preparing personal income tax returns is preferred.
- Experience in a receptionist, administrative assistant, or customer service role.

Technical Skills
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Experience with tax preparation software such as TaxCycle, Profile, Cantax, or similar applications.
- Familiarity with CRA online services and electronic filing systems is an asset.
- Strong keyboarding and document management skills.

Working Conditions
- Full time position with additional hours that may be required during the personal tax season (February through April).
