POSITION: One (1) Permanent Position – Secretary III SEA Clerk
LOCATION: Special Education Support Services
RATE OF PAY: $25.38 - $27.58 per hour
SCHEDULE: 35 hours per week - 10 Month Position
Position Summary:
The Special Education Support Services Team is seeking an enthusiastic and detail-oriented individual for the position of SEA Clerk. Reporting to the Special Education Supervisor, this role involves a wide variety of clerical and administrative duties to support the day-to-day operations of SEA (Special Equipment Amount) processes, ensuring timely service delivery, communicating with other DSBN departments, and accurately maintaining the SEA database system. The successful applicant will be detail oriented and show proficiency in providing exceptional customer service.
Typical duties will include, but are not limited to the following:
- Prepare, process, and enter SEA claim data using SEAit software.
- Coordinate the procurement of SEA-funded equipment through Sparkrock, including the tracking and reconciliation of purchase orders, invoices, and related documentation.
- Maintain accurate records of SEA equipment requests, approvals, assignments, deliveries, transfers, and inventory using SEAit and other Board-approved software applications.
- Work collaboratively with the Vendor of Record, schools, and internal staff to ensure SEA equipment is accurately catalogued, maintained, and available to support student needs.
- Assist with daily operations,
including assigning assistive technology (AT) devices to students, preparing equipment and peripherals for shipment, and coordinating deliveries through the Board courier system.
- Coordinate with schools, vendors, internal departments, and other school boards to facilitate the timely provision, transfer, tracking, and documentation of SEA-funded equipment.
- Provide exceptional customer service and support to schools and staff through in-person, telephone, and email communication.
- Perform accurate data entry, scheduling, communication, and record-keeping using Microsoft Word, Excel, Outlook, SharePoint, Aspen, Sparkrock, Adobe, and other Board-approved software applications.
- Perform other related duties as assigned by the Supervisor.
Qualifications:
- Applicants must have Grade 12 education (a minimum one-year College diploma in Office Administration is preferred), including or supplemented by courses.
- Applicants must have the equivalent of ten (10) working months of clerical/secretarial experience in a school or DSBN clerical setting within the past two (2) years, which demonstrates proficiency in the functions described above.
- Working understanding of the Ministry of Education Special Equipment Amount (SEA) Guidelines.
