Are you an experienced Project Coordinator who thrives on solving problems, keeping projects moving, and being the person others turn to when things get complicated?

Gem Cabinets is looking for a Senior Project Coordinator to take ownership of complex residential cabinet projects from point of sale through completion. This is a key role within our Project Coordination team, combining hands-on project management with troubleshooting, customer communication, and team support.

You’ll work closely with Sales, Design, Purchasing, Service, Project Management, builders, homeowners, and site personnel to ensure projects are well coordinated, completed on schedule, and meet both customer and company expectations.

At Gem Cabinets, we don’t just build cabinetry — we build experiences. And that’s where you come in.

What You’ll Do

Own Complex Projects

- Manage retail and large custom cabinet projects from point of sale through completion.
- Review new projects, installation requirements, timelines, checklists, and potential risks.
- Identify challenges early and coordinate solutions across departments.
- Monitor projects closely to keep schedules, quality, costs, and customer expectations on track.

Solve Problems & Keep Things Moving

- Take the lead when unexpected project issues arise.
- Use sound judgment to assess situations, develop solutions, and coordinate their resolution.
- Identify recurring issues and recommend improvements to processes and communication.
- Escalate significant concerns when appropriate and provide practical recommendations.

Build Strong Customer & Site Relationships

- Work with Sales and internal teams to understand customer requirements and develop solutions that work for both the customer and Gem.
- Communicate directly with builders, homeowners, site superintendents, designers, and other project stakeholders.
- Respond to inquiries and concerns promptly and professionally.
- Address site issues, schedule changes, installation concerns, and safety matters before they become bigger problems.

Be a Resource for the Team

- Act as a senior resource for Project Coordinators and Support Coordinators.
- Provide guidance on complex jobs, processes, and problem-solving.
- Mentor less experienced team members and share your knowledge and best practices.
- Help identify training opportunities and contribute to a collaborative, accountable team environment.

Coordinate Parts, Purchasing & Service

- Work with Designers and Purchasing to determine when purchase orders are required.
- Coordinate parts to ensure they are ordered, received, and available when needed.
- Initiate service appointments when parts or shop work are ready.
- Work with the Scheduler to assign technicians and keep outstanding work moving toward completion.

Keep Documentation Accurate & Projects Moving to Close-Out

- Review reports, inspections, work orders, and project documentation for accuracy and completeness.
- Coordinate with the Project Manager and Support Coordinator to resolve discrepancies, change orders, and outstanding items.
- Ensure completion reports and required documentation are provided to builders, homeowners,

designers, and other stakeholders.

- Support accurate close-out of post-possession work, cabinet finals, purchase orders, and other project requirements.

What You Bring

- 10+ years of experience as a Project Coordinator or in a comparable project management role.

- 5+ years of experience in residential cabinetry, construction, or a related industry.
- 5+ years of experience in a leadership and mentoring role, providing direction, coaching, and support to team members.

- Strong knowledge of residential kitchen cabinet installation and construction processes.

- Proven ability to manage multiple projects, priorities, and deadlines.
- Strong problem-solving, troubleshooting, and decision-making skills.
- Excellent customer service and communication skills.

- Professional and diplomatic approach when dealing with challenging situations.
- Highly organized with strong attention to detail and time-management skills.
- Comfortable interpreting and preparing work orders, reports, and project documentation.

- Strong Microsoft Office skills and the ability to learn new systems and technology.
- Able to work independently, take initiative, and exercise sound judgment.
- Demonstrated ability to mentor and support less experienced team members.

- High school diploma or equivalent; project management or construction-related training is an asset.
- Flexibility to work additional hours or occasional weekends when project requirements require it.
