NOTE: This posting represents a part-time (21 hours per week) contract until April 30, 2028.

SCOPE

Reporting to the Manager, Campus Wellness Administrative Services, with functional supervision from the Manager, Case Management Services, the incumbent provides a welcoming and caring environment for the University community by providing excellent front-line customer service and supporting the daily operations of Campus Wellness and Support Services (CWSS) Mental Health Single Entry Point unit.

PRIMARY RESPONSIBILITIES

- Serve as the first point of contact for student and faculty information as it relates to accessing mental health services on campus. Ensure the correct format of documents for a smooth intake flow, responds to inquiries.
- Communicate with students regarding their intake package, self-booking process, and other mental health resources.
- Monitor and carry out the scheduling of appointments for the unit, upload request for service forms on the scheduling system(s). Compile statistical reports as needed.
- Ensure files within the online system(s) are up to date.
- Identify urgent and emergency situations and ensure that the appropriate professionals within the unit or the Director of Counselling and Psychological Services are immediately notified.




- Refer students in critical and urgent situations to external resources and notify the Director of Counseling and Psychological Services
- Receive and distribute incoming mail, faxes and special delivery.
- Order and maintain inventory of office supplies for the unit.
- Book conference rooms and assist with ordering of equipment and refreshments.
- Provide general office and clerical support for business units.
- Perform other duties in support of the operation of the unit.

QUALIFICATIONS

- Diploma of Collegial Studies (two-year pre-university DEC) and one to two years of related work experience in a medical setting.
- Previous experience working in a high-volume service area.
- Good knowledge (Level 4) of spoken and written English in order to communicate effectively with students, faculty and staff; basic knowledge (Level 3) of spoken and written French. Knowledge of additional languages is an asset.
- Basic knowledge of Word, Excel, and PowerPoint.
- Keen attention to details.
- Excellent organizational, interpersonal and communication skills with the ability to deal sensitively with individuals.
- Ability to multitask and work under pressure with frequent interruptions.
- Aptitude to work in a service-oriented environment as both a member of a team and independently.
- Approachability (is sensitive and patient with others) and composure (is a calming influence in a difficult situation).
- Working knowledge of the Student Information System is an asset.
