Reporting to the Human Resources Department, the Benefits Specialist is responsible for the administration and management of employee advantages programs for all employees, including group insurance plans, retirement savings plans (RRSPs), and disability management cases.

The incumbent serves as a key resource for employees, managers, and external providers. They ensure the accuracy of data, invoices, and payroll deductions while maintaining compliance with collective agreements, internal policies, and applicable employment conditions.

Responsibilities

Benefits Administration

- Administer employee benefits programs for all employees.
- Process enrollments, coverage changes, status changes,



terminations, and reinstatements.
- Ensure eligibility requirements are applied according to employee status and job category.
- Administer benefit-related provisions outlined in collective agreements.
- Respond to employee inquiries while providing professional and confidential service.

Group Insurance Administration and Reconciliation

- Administer group insurance plans and coordinate with insurance providers.
- Perform monthly reconciliation of group insurance invoices.
- Validate invoices based on eligible employees, coverages, rates, and plan changes.
- Compare invoices against HR and payroll data to identify discrepancies.
- Investigate anomalies related to premiums, coverages, enrollments, terminations, and status changes.
- Follow up with insurers to correct errors.
- Track credits, adjustments, and reimbursements.
- Verify the accuracy of benefit premiums and payroll deductions.

Disability and Leave Management

- Manage the administrative aspects of short-term and long-term disability cases.
- Receive and monitor required documentation in collaboration with insurance providers.
- Coordinate follow-ups with employees, managers, insurers, and payroll.
- Track key dates, waiting periods, and transitions between short-term and long-term disability.




- Maintain accurate records and ensure the confidentiality of medical information.
- Support return-to-work processes and accommodation-related cases.

RRSP and Retirement Savings Administration

- Administer retirement savings plans for both unionized and non-unionized employees.
- Process enrollments, contribution changes, and plan terminations.
- Monitor employee contributions and employer matching contributions, where applicable.
- Perform validations and reconciliations with payroll and the retirement plan provider.
- Ensure compliance with applicable collective agreement provisions.
- Answer employee inquiries and liaise with the plan provider.

Qualifications

- College diploma or university degree in Human Resources, Business Administration, or a related field.
- Relevant experience administering employee benefits in both unionized and non-unionized environments.
- Experience managing disability administration processes.
- Strong knowledge of group insurance plans and RRSP programs.
- Experience with invoice reconciliation and payroll data validation is an asset.
- Good understanding of collective agreements and labour relations.
- Excellent knowledge of HRIS and payroll systems.
- Strong attention to detail, sound judgment, autonomy, and organizational skills.
- Excellent communication and customer service skills.
- Ability to manage multiple files simultaneously and handle confidential information.
- Bilingualism (French and English).
