Senior Project Administrator / Workplace Services Coordinator Location:

Ottawa, ON – Fully On-Site

Contract:

September 28, 2026 – March 31, 2027

Estimated Hours:

997.5 hours

Employment Type:

Full-Time Contract

Compensation:

$30-$35/hr Based on seniority, and ability to meet the requirements in full.

Scope of Work / Responsibilities We are seeking an experienced

Senior Project Administrator / Workplace Services Coordinator

to provide workplace coordination and administrative support within a federal government environment.

The successful candidate will serve as a primary point of contact for employees and visitors, supporting day-to-day workplace operations, responding to inquiries, coordinating service requests, maintaining records, and working with internal service providers to resolve workplace-related issues.

The role will involve:

Serving as the primary point of contact for employees and visitors requiring workplace-related support and assistance.

Responding to inquiries related to workplace services, office facilities, accommodations, and workplace procedures.

Triaging workplace-related inquiries and issues and escalating matters to the appropriate internal service providers.

Resolving routine workplace issues within established authorities and procedures.

Supporting day-to-day workplace operations and maintaining organized and efficient workplace support processes.

Monitoring workplace amenities, supplies, equipment, and shared spaces.

Coordinating replenishment or corrective action as required.

Maintaining records, service requests, trackers, and workplace documentation.

Supporting workplace readiness initiatives, return-to-work plans, workplace protocols, and space management activities.

Assisting with the administration, troubleshooting, and support of workspace reservation systems.

Monitoring office occupancy levels and maintaining workplace utilization records and reports.

Supporting workplace optimization and space management initiatives.

Coordinating with internal service providers, including Information Technology, Security, Administration, Human Resources, and Communications.

Supporting workplace-related communications, notifications, and awareness campaigns.

Monitoring shared mailboxes and ensuring timely responses to employee requests.

Assisting with special projects and operational initiatives related to workplace services and office administration.

Supporting workspace assignments, moves, and occupancy planning.

Tracking workplace-related issues, risks, follow-up actions, and outstanding items.

Maintaining project and workplace documentation.

Conducting research, data gathering, and analysis in support of workplace initiatives.

Preparing progress updates and status reports for management.

Supporting a positive and professional employee and visitor experience.

Mandatory Qualifications M1 Fully bilingual in

English and French , with the ability to communicate effectively both orally and in writing in either official language without assistance.





Bilingualism is a firm requirement for this position and will be assessed during the recruitment process.

M2 Minimum

5 years of experience

providing customer service, administrative support, or office coordination services.

Preferred Qualifications The following experience and qualifications would be considered assets:

Experience responding to inquiries from clients, employees, visitors, or members of the public in a professional environment.

Experience maintaining records, schedules, databases, trackers, or filing systems.

Proficiency using Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint.

Experience providing workplace services or office coordination.

Experience in facilities, corporate services, or office administration.

Experience supporting workplace readiness or return-to-work initiatives.

Experience with workspace reservation or office booking systems.

Experience monitoring office occupancy or workplace utilization.

Experience supporting office moves, workspace assignments, or space planning.

Experience monitoring workplace supplies, equipment, amenities, or shared spaces.

Experience coordinating with IT, Security, Human Resources, Administration, Communications, or facilities teams.

Experience preparing operational reports, status updates, or management documentation.

Experience supporting workplace optimization or process improvement initiatives.

Experience working within a federal government or other public-sector environment.

Technical & Workplace Setting The successful candidate will operate within a

professional federal government workplace environment , supporting employees, visitors, management, and internal service providers.

The successful candidate should be comfortable working directly with employees and visitors while coordinating with multiple internal service providers to ensure workplace issues are addressed appropriately and in a timely manner.

Deliverables Depending on operational requirements, deliverables may include:

Employee and visitor inquiries responded to in a timely manner.

Workplace issues triaged and resolved or escalated as appropriate.

Shared mailboxes monitored and managed daily.

Service request logs maintained and updated.

Workplace amenities, equipment, and supplies monitored and replenished as required.

Shared spaces inspected and deficiencies reported or addressed.

Maintenance,



security, IT, and administrative requests coordinated.

Workplace-related issues and follow-up actions tracked.

Workspace assignments, moves, and occupancy planning supported.

Workplace utilization records and reports maintained.

Issues, risks, and recommendations documented and communicated to management.

Workplace awareness campaigns and employee engagement activities supported.

Project documentation maintained and updated.

Research, data gathering, and analysis completed in support of workplace initiatives.

Progress updates and status reports provided to the Project Authority.

Team & Reporting Structure The Senior Project Administrator / Workplace Services Coordinator will work closely with employees, visitors, management, and internal service providers.

The successful candidate will serve as a central coordination point for workplace-related inquiries and service requests and will be expected to exercise sound judgment when troubleshooting routine issues and determining when matters should be escalated.

The role will require regular coordination with

Information Technology, Security, Administration, Human Resources, Communications, and other internal service areas .

Security Requirements The successful candidate must possess a valid

Government of Canada Reliability Status

clearance prior to commencement of work and maintain the clearance throughout the contract period.

Language Requirements French:

Required – written and verbal.

English:

Required – written and verbal.

The successful candidate must be comfortable providing workplace support and communicating professionally with employees, visitors, management, and other stakeholders in

both official languages .

Ideal Candidate Profile This position is best suited to a

bilingual Senior Project Administrator, Workplace Coordinator, Office Coordinator, Administrative Professional, or Operations Coordinator

with at least five years of relevant customer service, administrative, or office coordination experience.

The ideal candidate will be highly organized, service-oriented, and comfortable serving as a first point of contact for workplace-related inquiries.

They should be able to manage multiple requests and priorities simultaneously, maintain accurate records and documentation, coordinate with internal teams, troubleshoot routine issues, and ensure outstanding matters are followed through appropriately.

Experience within a

federal government, public-sector, corporate workplace, facilities, office operations, or administrative environment

would be particularly relevant.

The successful candidate must be comfortable working

fully onsite in Ottawa five days per week

and communicating professionally in both English and French.
