Part-time Administrator

iLearn Home Child Care Agency Inc. looks after licensed home child care across Dufferin County and beyond. Behindevery placement sits a valuable deal of careful paperwork — enrolments, invoices, subsidy claims,compliance records — and we are looking for someone to take charge of it. This is the role thatkeeps families paid up, providers compliant and nothing falling through a gap.

It suits someone organised and unflappable who likes finishing things properly. You will workclosely with our Director and our home visitors, and you will be the first voice a lot offamilies hear.

What the role involves

- Handling enrolment paperwork from first enquiry to placement — checking forms are complete, chasing what is missing, and keeping each family's record straight.
- Preparing and issuing parent invoices, recording payments, and reconciling incoming e-Transfers against the right family and the right invoice.
- Keeping CWELCC and subsidy paperwork accurate and on time, and answering the questions families ask about both.
- Tracking provider compliance — police checks, first aid, immunisation records — and giving people fair notice before anything expires.
- Looking after the waitlist: responding to enquiries, keeping it current, and matching families to providers with the Director.
- Being the everyday point of contact by phone and email for families and providers, and knowing when something needs to go to the Director.

What we look for

- Solid administrative experience — bookkeeping, invoicing, records or office coordination. Child care experience is welcome but not required; we will teach you the sector.
- Comfortable with numbers and comfortable saying when they do not add up. A good deal of this role is noticing that something is off.
- Confident on email, spreadsheets and learning a new system. Ours is web-based and we will train you on it.
- Discretion. You will see families' financial circumstances and providers' personal records, and both stay in the office.
- Clear written English and a warm phone manner — many of the people you speak to are anxious about child care or money, or both.




- A clear vulnerable sector police check before starting.

Hours, pay and place

- 20–25 hours a week , weekday mornings, so the work lands in the hours families and providers are reachable.
- Hybrid — some days in our Orangeville office, the rest from home, settled with you once you are up to speed.
- Starting as soon as we find the right person.

Dufferin County is home for us — our office is in Orangeville, and most of the familieswho come to iLearn Home Child Care Agency Inc. live within half an hour of it. We are looking for caring,dependable people to open licensed home child care in their own homes right across thecounty. You look after a small group of children in a familiar, family setting; we handlethe licensing, the paperwork, the parent billing and the day-to-day support so you canconcentrate on the children.

- Experience with children — as a parent, an educator, an ECE, or in another caregiving role.
- A clear vulnerable sector police check, valid first aid and CPR, and up-to-date immunisations.
- Patience, warmth and reliability. Families are trusting you with the part of the day they cannot see.
