We are looking for an Office Coordinator who wants to be part of that.

The Role

The Office Coordinator is often the first person our clients, guests, and partners interact with and plays an important role in setting the tone for their experience with CH.

This is more than a reception role. You will be at the centre of our Calgary office, helping create an environment that feels welcoming, professional, organized, and distinctly CH. You will support our clients, our team, and the day-to-day details that allow the office to operate at a high level.

The right person notices what needs to be done, takes pride in the details, and genuinely enjoys making things easier and better for the people around them.

What You’ll Do

Create an Exceptional Client Experience

- Welcome clients, guests, and partners warmly and professionally, creating a great first impression of CH.
- Anticipate client needs and help create a polished, comfortable, and thoughtful experience from the moment someone walks through our doors.
- Answer phone calls and general emails with professionalism, warmth, and a strong service mindset.
- Ensure reception, meeting rooms, and shared spaces are organized, welcoming, and client-ready.




- Receive deliveries and manage incoming and outgoing mail and courier packages.
- Handle client information with discretion and maintain confidentiality at all times.

Keep the Office Running Smoothly

- Take ownership of the day-to-day organization and presentation of the Calgary office.
- Monitor office supplies, maintain inventory, and coordinate ordering and restocking.
- Assist with document preparation, scanning, filing, data entry, and records management.
- Update and maintain accurate client information in our CRM.
- Maintain electronic and physical records in accordance with company procedures.
- Support scheduling, calendars, meeting logistics, room bookings, catering, and refreshments.
- Identify the small things that could work better and help improve how we operate.
- Support the Team
- Provide administrative support across departments and help with special projects as needed.
- Assist with internal meetings, team events, client appreciation events, and community initiatives.
- Monitor and distribute general email inquiries and help ensure requests get to the right person.
- Support document collection, processing, and client information updates.
- Be willing to jump in when something needs to get done. At CH, we care more about solving the problem than whose job description it falls under.

What You Bring

- 2–3 years of relevant experience in an office, reception, administrative, hospitality, or client service environment.
- Exceptional client service skills and a warm, confident, and professional communication style.
- Strong organizational skills and attention to detail.
- The ability to manage competing priorities and stay composed in a busy environment.
- Sound judgment and an understanding of when to take initiative and when to ask questions.
- Strong interpersonal skills and a genuine desire to help others.
- Proficiency with Microsoft Office. Salesforce experience is an asset.
- Clear and qualified written and verbal English communication skills.

- An interest in learning about wealth management and growing your skills over time.
