The Resident Manager is responsible for maintaining the property to the highest standards, providing exceptional resident service, coordinating maintenance and contractors, supporting leasing and collections activities, and ensuring the effective administration and operation of the building. The Resident Manager must be hands-on, highly organized, customer-service oriented and capable of working independently while maintaining regular communication with the Property Manager.Employment Type:Full-timeSalary Range:$30,000-$35,000 (plus apartment benefit)Duties & ResponsibilitiesDaily Property Operations, Inspections & Maintenance The Resident Manager is responsible for completing daily inspections and maintaining the property in a clean, safe and well-maintained conditionDaily DutiesInspect all life safety systems and ensure they are in proper working orderComplete and maintain the required fire log book and life safety documentationInspect boiler rooms and electrical rooms and maintain the log bookInspect parking levels, parking entrances and exterior parking areasInspect all building floors, hallways, common areas, roof and exterior grounds. Identify and resolve deficienciesInspect all mechanical systems, facilities, storage rooms and other property areasClean, mop and clear debris from refuse chutes and surrounding areasClean and maintain the compactor room and change garbage bins as requiredClean elevator landings, elevators, lobby, back lobby/moving room, laundry room, parking entrances and other common areasPick up litter and maintain exterior grounds, walkways, parking areas, landscaping and flowerbeds in a neat and tidy conditionWater flowers and perform other basic landscaping duties as requiredReview and investigate all resident maintenance requests within 48 hours of receipt and arrange or complete repairs as appropriateClean vacant suites and ensure they are prepared for showing and occupancyVacant suites responsibilities-Arrange inspection and obtain estimates from contractorsCoordinate with contractors and follow up on major turnover work as required to ensure the suite meets the property’s standards. Get prior approval from the managementComplete in-house maintenance and minor repairs in vacant suites as required to ensure units are rent-readyComplete minor electrical work, such as replacing light switches, light bulbs, and other basic fixtures as requiredClean and maintain appliances, including refrigerators, stoves, dishwashers, and other in-suite appliancesClean, air vents, and other accessible areas as requiredPerform minor carpentry and hardware repairs, including tightening or adjusting cabinet hinges, handles, doors, and other fixturesAddress minor plumbing, mechanical, and general maintenance issues that can be completed in-houseInspect vacant suites following completion of major turnover work by contractors and identify any outstanding itemsEnsure all required in-house maintenance, cleaning, touch-ups, and minor repairs are completed before the suite is considered rent-readyConduct a final inspection of the vacant suite to confirm it is clean, functional, safe, and ready for occupancyUpdate and maintain the in-suite maintenance scheduleComplete repairs and maintenance in the building as required, including plastering and painting, as requiredInspect and address hazardous conditions, including issues requiring immediate attentionDuring winter operations, inspect sidewalks, driveways, parking areas and entrances and correct or report hazardous conditionsComplete snow shovelling, salting and other winter maintenance duties as requiredComplete snow logs daily during the winter seasonEnsure the property remains clean,



safe and presentable throughout the dayDaily Administrative DutiesDaily Resident Service & CommunicationAnswer resident inquiries promptly and professionallyRespond to resident concerns and service requestsProvide appropriate follow-up on maintenance requestsMaintain professional and positive relationships with residentsDeliver resident notices as requiredCommunicate building information, maintenance activities and operational updates to residentsComplete incoming and outgoing suite inspections as requiredEnsure proper notice is provided before entering a resident’s suite, generally 24 hours’ notice, except where emergency entry or other legally permitted entry appliesAssist residents with building-related questions and concernsBe available for emergencies while on dutySupport leasing activities and respond to prospective resident inquiriesBe available for leasing activities and appointments from 8:00 am to 8:00 p.M. when requiredCollect and process rental payments in accordance with company proceduresTake rental cheques and required deposits to the bankProcess property correspondenceMaintain organized property files and documentationMaintain proper resident and tenant filesPrepare and complete required inspections, logs, notices, reports and formsPrepare purchase orders (POs) for Property Manager approvalCoordinate approved work using authorized POsVerify the quality of completed work and supporting documentationReceive POs for acceptable and completed contractor workForward completed POs and supporting documentation to Accounts PayableMaintain accurate property recordsMaintain and update maintenance schedulesEnsure the property office remains organized, clean and professionalComplete other administrative tasks associated with the operation and leasing of the buildingCoordinate and schedule approved trades, suppliers and contractorsSupervise trades and suppliers while working on the propertyEnsure contractors complete work in accordance with the approved scopeMonitor the quality and completion of workEnsure packing slips and time tickets are signed before trades and suppliers leave the propertyVerify that information recorded on packing slips and time tickets is accurateFollow up on incomplete, deficient or outstanding workEscalate significant maintenance issues or contractor concerns to the Property ManagerEnsure contractors and suppliers follow applicable property rules and safety requirementsRespond immediately to emergencies, including fire, flood, no heat, elevator failure, electrical outages and other urgent building situationsContact the Property Manager as quickly as possible during an emergency and follow their directionTake appropriate immediate action to protect yourself, residents, the property and building systemsMaintain required emergency and life safety documentationEnsure life safety systems remain operational and deficiencies are promptly reported and addressedMaintain compliance with company emergency proceduresTwice Weekly And As RequiredClean all hallwaysClean elevator tracksClean fire extinguisher cabinetsClean stairwaysClean other common areas as requiredAddress additional cleaning requirements identified through inspections or resident needs7. Legal & Collections Duties2nd, 15th and 25th of Each MonthPrint the current Aging SummaryDeliver Friendly Reminder notices to applicable residents25th of Each MonthInclude the applicable tenant ledger with the Friendly Reminder noticeFollow established company procedures for rental arrears and collectionsEscalate outstanding accounts to the Property Manager as requiredAdditional Duties As RequiredAttend tribunal hearings under the direction of the Property ManagerAssist with legal-related tasks and documentationPrepare and deliver required resident noticesMaintain accurate records relating to collections, notices and legal mattersReasonably enforce the Landlord's rules and regulations in accordance with company policies and applicable legislation9. Monthly DutiesReconcile parking spreadsheetsCancel key fobs, access cards and other building access credentials for residents who have moved out, where applicableReview outstanding maintenance and property issuesReview contractor and supplier accounts and outstanding workEnsure property files and documentation remain current and organizedReview building access records and ensure former residents no longer have unauthorized access10. Annual DutiesComplete annual in-suite safety inspectionsMaintain records of completed safety inspectionsFollow up on deficiencies identified during inspectionsSupport annual building maintenance and inspection programsComplete annual compliance and operational requirements as directed by the Property Manager11.
