Reporting to the District Principal of Human Resources and the Secretary-Treasurer, the Executive Assistant will provide both administrative and secretarial support services for human resources and the Board of Education. The position requires confidentiality, discretion and superior information management skills. The incumbent will take responsibility for identified areas of services, will be expected to work with a high degree of independence, initiative, with a high level of attention to detail and provide essential clerical support functions. Work performed will be accurate and complete using established policies and procedures while being given limited direction.

Duties Include

Scheduling, organizing and managing appointments and events, including large group events

Ensuring Ministry and district reporting deadlines are met

Performing a variety of confidential administration tasks

Maintaining and securing all confidential employee personnel files, lists and records

Maintaining a comprehensive and specific knowledge of the organization, collective agreements, policies and administrative procedures of the District and legislation

Planning and organizing information/data for staffing processes, and completing contracts for employees





Supporting and organizing recruitment and employment of excluded staff

Providing a variety of senior secretarial duties such as: composing replies to correspondence and oral inquiries, scheduling meetings, preparing agendas, recording minutes of meetings, work processing, and spreadsheet creating, while meeting multiple deadlines

Performing other related duties as assigned by the District Principal of Human Resources and/or the Secretary-Treasurer

The successful candidate will possess

1-3 years’ experience at the executive assistant level; post-secondary Office Administration certification / diploma; post-secondary Human Resources program and/or combination of relevant experience and education

Excellent communication (verbal and written), organization and human relations skills

Demonstrated flexibility, initiative, significant attention to detail and the ability to work under pressure in a wide variety of assignments with minimum supervision

A qualified, service-oriented approach, including the ability to maintain a positive relationship with employees and employee groups, senior administration and partner groups and Board of Education

Extensive experience with Microsoft Office Suite including, Word, Power Point and Excel

Proven ability to plan and follow up on projects to ensure tasks are completed in a timely and accurate manner

The ability to maintain information of a highly confidential nature

Preference may be given to those candidates with the following

Experience working within the education sector

Experience supporting a Board of Education

Experience working in a human resources environment

This is a full-time, permanent (12 months/year), excluded position. The successful candidate has the option of working remotely or in-person on site at the District Administration Office in Ashcroft. The salary range for this position is $66,387 to $82,984 with an extensive benefits package.
