Full Time Receptionist/Administrative Assistant - Western Canada Regional Council of Carpenters (Job Posting PDF)
Organization : Western Canada Regional Council of Carpenters (WCRC)
Location: Edmonton Office - Avenue NW
Reports To: Regional Manager, Alberta and NWT
The Receptionist provides general administrative and clerical support to WCRC management and staff. The role involves reception duties, correspondence, data entry and file management. The Receptionist ensures top quality customer service to our members.
Key Responsibilities
- Answer telephones, take messages, and direct inquiries to appropriate staff members
- Perform general secretarial duties including typing, transcription, and formatting of documents, correspondence, and reports
- Maintain and organize filing systems, both paper-based and electronic, ensuring documents are properly classified and accessible
- Schedule and coordinate meetings, including booking facilities, sending invitations, and preparing agendas and minutes
- Manage calendars and prioritize tasks for management staff, with attention to deadlines and competing priorities
- Prepare reports and other materials using Microsoft Office applications
- Maintain office supplies inventory and coordinate orders with vendors as needed
- Assist with data entry and database management tasks
- Communicate professionally with staff, members, contractors, and external stakeholder
REQUIRED QUALIFICATIONS
- Secondary school diploma or equivalent
- Minimum 1-2 years of administrative or clerical experience
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities
- Ability to work independently and as part of a team
- Professional demeanor and strong customer service orientation
- Ability to maintain confidentiality and handle sensitive information appropriately
PREFERRED QUALIFICATIONS
- Experience in a union, non-profit, or construction industry environment
- Familiarity with labour relations or human resources administration
- Knowledge of UBCJA or the construction trades
- Experience with scheduling or meeting coordination software
WORKING CONDITIONS
- Office-based position located at the WCRC's Edmonton Office located at Avenue NW
- Standard business hours (Monday-Friday, 8:00 AM-4:30 PM or as assigned)
- Regular computer work; may involve prolonged sitting and use of keyboard/mouse
