Position Summary
Under the supervision of the Director of Community Services/City Clerk, the Clerk Co-ordinator will provide service to all Clerk's Department customers, maintain both electronic and physical Municipal records, assist with clerical duties and train new staff on departmental software.
Duties
Assist with all departmental clerical duties
Answer general inquiries and direct as required
Assist with the preparation of various departmental committee meetings, agendas, minutes, resolutions, etc. as directed
Assist with the preparation of the Council package, typing by-laws, agreements, general correspondence, agendas, minutes, resolutions, etc. as directed
Assist with all aspects of Laserfiche support and training and provide all in-house training
Assist with maintaining all physical and electronic records
Assist in organization of records management and co-ordinate destruction of records
Assist with Freedom of Information files and claims against Municipality
Assist with the administration, co-ordinating, planning,
scheduling and attending all of the Committee of Adjustment hearings
Assist with the processing of laneway closures and land sales
Assist with preparing and maintaining Zoning & Deeming By-Law Files/Certificates
Assist with the co-ordination and implementation of the Municipal Election process
Perform other duties as assigned
Qualifications
Two-year Community College Diploma in Office Administration
Minimum one (1) year experience in general office work
Knowledge of Civic Web Meeting Manager, GIS, Microsoft Office Suite, and Laserfiche
Good oral and written communication skills required
Proven ability to work effectively with others
AMCTO designation considered an asset
