Location: Remote (Work virtually anywhere in Ontario)

Salary: $49,595 - $56,420 annually

Hours: 35 hours per week

Reports to: Manager of Human Resources, with dotted-line engagement to the Sr. Director of Operations.

Purpose of Role To support the organization’s operational effectiveness by enabling sustainable, scalable growth through improved internal processes, data-informed decision making, quality controls, and planning. Working closely with Interwoven’s leadership and other internal stakeholders, the Operations Analyst contributes to operational projects, funding proposal development, workflow documentation, infrastructure, and organizational reporting.

The Operations Analyst is the primary liaison with the organization’s external Managed Service Provider (MSP) to support the technology roadmap, including staff training and cybersecurity awareness initiatives. This role helps ensure all staff have the tools, knowledge, and support required to work efficiently while contributing to continuous operational improvement across the organization.

How You’ll Make an Impact

Operational Coordination and Process Improvement

- Contribute to the preparation of operational reports for leadership, the Board, and other stakeholders.
- Contribute to the development of funding proposals, project briefs, and outcomes reporting, as well as other organizational reports in collaboration with leadership.
- Assist in gathering, maintaining and organizing operational data and contribute to internal reports and dashboards that support organizational decision-making.
- Document operational processes, workflow improvements, and procedural updates as they arise.
- Support the preparation and maintenance of internal HR and operational dashboards by gathering and organizing workforce data in collaboration with leadership.
- Design, administer,



and analyze internal and external quality monitoring and oversight tools to support program evaluation programs.
- Assist in tracking key operational performance indicators and enabling performance dashboards for leadership and Board reporting.

Technology Coordination and Staff Support
- Serve as the internal liaison with the organization’s Managed Service Provider (MSP) to coordinate technology services and support organizational needs.
- Monitor and review MSP service delivery including ticket resolution and service performance, and identify opportunities to improve technology efficiency and support
- Assist staff with basic technical troubleshooting and escalate issues to the MSP when required.
- Coordinate organization-wide technology education and training initiatives, including cybersecurity awareness programs and staff compliance with required training.
- Support the coordination of software evaluations, purchasing, deployments, licensing, and related documentation in collaboration with the MSP.
- Assist in developing and maintaining cybersecurity, privacy, and data security practices in coordination with leadership and the MSP.
- Manage the inventory, budget, and lifecycle of organizational devices (primarily laptops), including coordination with MSP and Finance for hardware lifecycle management.
- Set up, configure, and prepare devices for staff use and manage inventory/ shipping/receiving.

What Makes You a Great Fit

- Post-secondary education in business administration, operations management, information systems, public administration, or a related field; or an equivalent combination of education, training, and relevant work or lived experience.
- Minimum 2 years of experience in operations coordination, project coordination, organizational administration, or related roles. Equivalent experience gained through community-based, nonprofit, or professional environments will be considered.
- Experience supporting operational planning, documentation, and process improvement initiatives.
- Strong organizational, administrative and project coordination skills, with attention to detail and ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills including experience contributing to reports, proposals, or organizational documentation.; bilingualism in English and French is an asset.
- Experience working with data, surveys, or reporting tools to support organizational analysis, program evaluations, and decision-making.




- Comfort working with technology systems and coordinating with external IT service providers.
- Basic troubleshooting ability for common workplace technology issues; knowledge of cybersecurity awareness practices and technology training coordination is an asset.
- Proficient in Microsoft Office 365 (Outlook, Word, Excel, Teams), and CRM tools (e.g., MS Dynamics), Power BI, and collaborative workplace tools; familiarity with data visualization or reporting tools is an asset.
- Strong interpersonal and organizational skills with the ability to collaborate across departments and work effectively in a virtual setting with internal teams and external partners.
- Knowledge of the experiences of marginalized communities within the child welfare system, and experience providing service to families who are over-represented in those systems is considered an asset.
- Commitment to anti-oppression, equity, and trauma-informed approaches is required.

Benefits:

- 3 weeks paid vacation (increases to 4 weeks after 5 years of service, and 5 after 6 years), 6 personal time off days per year, and 12 statutory holidays.
- Group benefits are available to employees working 25 hours or more per week, including Healthcare and Dental Care, after 90 days of employment.
